How to View Files

Learn how to open, preview, share, download, zoom, and check version history for files in Storage.

Open Storage

From the left sidebar, select Storage.

You will see the storage area for your organization, including folders, uploaded files, and the Trash folder.

Required permissions:

  • You must have access to Storage

  • You must have permission to view the selected folder or file

  • Some actions, such as sharing or version management, may depend on your role

Find the file

Use the Search storage... field to search for a file by name.

You can also browse through folders such as:

  • Archived Files

  • Care Plans

  • Client Uploads

  • WHS

  • Other folders created by your organization

Files are shown in a table with details such as:

  • Name

  • Access

  • Type

  • Size

  • Modified date

Open a file

Click the file name to open it.

The file viewer will display the file preview on the left and file details on the right.

Depending on the file type, you may see:

  • A text preview

  • An image preview

  • File type label, such as TXT or PNG

  • File size

  • Modified date

  • Version number

View file details

When a file is open, the right-side panel shows key file information.

This may include:

  • File name

  • File type

  • File size

  • Dimensions, for image files

  • Modified date

  • Version

Use this panel to confirm you are viewing the correct file.

Use the file action buttons

At the top right of the file viewer, you can use the available action buttons.

Available options may include:

  • Version history to view previous versions of the file

  • Share link to copy a link to the file

  • Download to download the file

  • Zoom controls for image files

  • Open externally where available

Hover over an icon to see its label.

Share a file link

Select the Share link icon.

A Share window will open with a link to the file.

The share window explains who can open the file. For example, it may say that anyone in your organization with access can open it.

To share the file:

  1. Click Share link.

  2. Review the access message.

  3. Click Copy Link.

  4. Paste the link where needed.

Important: The link does not automatically give access to everyone. People must still have the required access permission.

Download a file

Select the Download icon.

You may see a message that says Preparing download....

Once ready, a confirmation message will appear, such as Download started.

The file will download through your browser.

Zoom image files

When viewing an image file, use the zoom controls at the top right of the viewer.

You can:

  • Zoom out

  • Zoom in

  • View the current zoom percentage

  • Reset zoom

If the image is already at its original size, the system may show a message explaining that zooming further could blur the image.

View version history

Select the Version history icon.

The Version history panel will open.

Here you can view available versions of the file. The current version is labelled Current.

From the version menu, you may be able to:

  • Save as new file

  • Download this version

You may also see an Upload new button if you have permission to upload a new version.

Important Notes

  • The Trash folder is used for recoverable deleted files.

  • File previews depend on the file type.

  • Some files may download instead of opening in the viewer.

  • Sharing a link does not override organization access controls.

  • Version history helps you review previous versions without deleting the current file.

  • Restoring or saving versions may depend on your permissions.

  • Download behaviour may vary depending on your browser settings.

Troubleshooting

If you cannot find a file:

  • Use Search storage...

  • Check the correct folder

  • Confirm the file has not been moved to Trash

  • Ask an administrator to confirm your access

If a file does not open:

  • Check that the file type is supported for preview

  • Try downloading the file

  • Refresh the page and open it again

  • Confirm your internet connection is working

If you cannot share a file:

  • Confirm you have permission to share files

  • Check whether the file is restricted

  • Ask an administrator to review your access

If a download does not start:

  • Wait for the Preparing download... message to finish

  • Check your browser download settings

  • Try again after refreshing the page

  • Make sure pop-ups or downloads are not blocked by your browser

If version history is unavailable:

  • Confirm the file has more than one version

  • Check that your role allows version management

  • Ask an administrator if the option should be available
