Bulk Upload

Upload multiple files or folders to Storage, monitor file linking and processing, review completed uploads, and identify files that were already uploaded.

Use Bulk Upload to add multiple files to Storage in one action.

During processing, Diversity Sync’d displays an Uploading files panel. Files may temporarily show Linking... in the panel and Processing in the Storage table.

When processing finishes, the panel changes to Upload complete and shows the result for each file.

Before you begin

You need permission to:

  • Access Storage

  • Open the destination folder

  • Upload files

  • Create folders when uploading a folder structure

Before starting:

  1. Confirm you are in the correct Storage folder.

  2. Review the files you intend to upload.

  3. Remove any files that should not be added.

  4. Check whether the same files already exist in Storage.

  5. Keep the Storage page open until processing finishes.

Note: The upload options available to you depend on your role, Storage permissions, browser and device.

1. Open Storage

  1. Select Storage from the main navigation.

  2. Confirm the correct organisation folder is displayed.

  3. Open the folder where the files should be stored.

  4. Review the breadcrumb path to confirm your current location.

The page may include:

  • Search storage...

  • A folder-specific search field

  • New folder

  • Upload

  • An upload options arrow

  • The Storage table

The Storage table may show:

  • Name

  • Access

  • Type

  • Size

  • Modified

2. Choose the destination folder

Files are added to the Storage folder that is currently open.

  1. Find the required destination folder.

  2. Select the folder name.

  3. Review the breadcrumb path.

  4. Confirm the correct folder is open.

For example, the breadcrumb may show:

ACME CARE PTY LTD > Archived Files

Important: Confirm the destination before uploading. Files added to the wrong folder may be difficult for other authorised users to find.

3. Select multiple files

  1. Select Upload.

  2. Browse to the files on your device.

  3. Select all required files.

  4. Confirm the selection.

  5. Wait for the upload process to begin.

Use your device’s multi-select controls to choose more than one file.

Do not select Upload again for the same files while the first upload is processing.

4. Review the Uploading files panel

After selecting the files, the Uploading files panel appears.

The panel may show:

  • Number of completed files

  • Total number of selected files

  • Upload percentage

  • Calculating...

  • Individual file names

  • Individual file sizes

  • Linking...

  • A progress indicator for each file

For example:

  • 0 / 3

  • 0%

  • Calculating...

The Linking... status indicates that Diversity Sync’d is processing the selected file and connecting it to the current Storage location.

5. Review files marked Processing

While the upload is running, the selected files may already appear in the Storage table.

A file that has not finished processing may show:

  • A temporary processing icon

  • Processing

  • A recent Modified value, such as just now

Wait for the processing state to finish before opening or using the file.

Important: Keep the Storage page open while files show Linking... or Processing. Closing or refreshing the page may interrupt the workflow.

6. Wait for the upload to finish

While files are processing:

  1. Keep the Storage page open.

  2. Do not upload the same files again.

  3. Review the progress panel.

  4. Wait until the panel displays Upload complete.

  5. Review the result shown beside every file.

The time required may depend on:

  • Number of files

  • File sizes

  • Internet connection

  • Browser performance

  • File processing requirements

7. Review Upload complete

When the files finish processing, the panel changes to Upload complete.

The panel may show:

  • Completed file count

  • Total file count

  • Individual file names

  • File sizes

  • Done

  • Already uploaded

  • A green success icon

For example, 3 / 3 means all three selected files were processed.

A file marked Done was successfully processed.

8. Understand Already uploaded

A file may show Already uploaded when Diversity Sync’d recognises that the file has already been added to Storage.

When this appears:

  1. Review the file name.

  2. Find the existing file in the destination folder.

  3. Open it to confirm it is the correct file.

  4. Do not upload the same file again unless a separate copy is required.

The completed panel may still show a green success icon because Diversity Sync’d successfully identified the existing file.

Note: Already uploaded helps prevent unnecessary duplicate processing. Confirm the existing file before creating another copy.

9. Confirm the uploaded files

After the panel displays Upload complete:

  1. Close the upload panel.

  2. Review the Storage table.

  3. Confirm each expected file appears.

  4. Review the Type.

  5. Review the Size.

  6. Review the Modified value.

  7. Open important files to confirm they are readable.

Recently processed files may show just now under Modified.

If a file is still marked Processing, wait and refresh the page after processing has had time to finish.

10. Search for an uploaded file

  1. Select the folder-specific search field.

  2. Enter part or all of the file name.

  3. Review the matching results.

  4. Open the file to confirm it uploaded correctly.

  5. Clear the search field when finished.

The search applies to the Storage folder currently open.

11. Upload a folder

The arrow beside Upload may provide a folder upload option.

To upload a complete folder:

  1. Select the arrow beside Upload.

  2. Choose the folder upload option.

  3. Browse to the folder on your device.

  4. Select the required folder.

  5. Confirm the selection.

  6. Allow the browser to access the folder if prompted.

A folder upload may include:

  • The selected folder

  • Multiple files

  • Subfolders

  • Files inside the subfolders

The available folder upload option depends on your browser, device and permissions.

12. Review Preparing folder upload

When uploading a folder, a panel may display Preparing folder upload.

The panel may show:

  • Number of files

  • Number of folders

  • Creating folders

  • Creating the folder structure before files upload...

  • A loading indicator

During this stage, Diversity Sync’d prepares the folder structure before processing the files.

Important: Keep the page open while Preparing folder upload is displayed. Do not begin another upload for the same folder.

13. Confirm the uploaded folder structure

After the folder upload finishes:

  1. Close the upload panel.

  2. Review the Storage list.

  3. Open the uploaded folder.

  4. Confirm the expected subfolders were created.

  5. Confirm the files appear in the correct locations.

  6. Open important files to confirm they are readable.

Use the breadcrumb path to move between folders.

14. Review image and PDF uploads

After uploading supported image and PDF files, open them to confirm previews display correctly.

Version 8.0.0 includes improved support for:

  • HEIC image previews

  • Previously uploaded HEIC files

  • Scanned PDFs that previously appeared blank

Note: Some previews may take a moment to generate after the upload finishes.

15. Confirm sensitive files are stored correctly

After uploading participant, staff, compliance, or financial records:

  1. Confirm the destination folder.

  2. Review the folder’s access settings where available.

  3. Confirm files are visible only to authorised users.

  4. Move or remove incorrectly placed files using the available Storage actions.

Important: Sensitive files must be uploaded only to the correct authorised folder. Review the destination after every bulk upload.

Important notes

  • Files are uploaded to the Storage folder currently open.

  • Confirm the breadcrumb path before selecting Upload.

  • The Uploading files panel displays overall and individual progress.

  • Calculating... may appear while Diversity Sync’d prepares the upload.

  • Linking... appears while a file is being connected to Storage.

  • Files may temporarily show Processing in the Storage table.

  • Upload complete confirms processing has finished.

  • Done means the file was successfully processed.

  • Already uploaded means an existing file was detected.

  • Recently processed files may show just now under Modified.

  • Do not upload the same files again while processing is underway.

  • Folder uploads may preserve the selected folder structure.

  • Upload options depend on your browser, device, and permissions.

  • HEIC image and scanned PDF previews are supported.

Troubleshooting

The Uploading files panel stays at Calculating

  • Keep the page open.

  • Check your internet connection.

  • Wait for Diversity Sync’d to finish reviewing the files.

  • Do not select Upload again.

  • Try uploading fewer files if the process does not continue.

A file stays on Linking

  • Keep the Storage page open.

  • Check your internet connection.

  • Wait for linking to finish.

  • Confirm whether the file appears in the Storage table.

  • Refresh only after processing has stopped.

A file stays marked Processing

  • Wait for processing to finish.

  • Refresh the Storage page.

  • Confirm the upload panel showed Upload complete.

  • Open the file again after processing finishes.

  • Re-upload only if the first attempt failed.

A file shows Already uploaded

  • Find the existing file in the destination folder.

  • Open and confirm its contents.

  • Review its Size and Modified value.

  • Rename the new file if a separate copy is required.

  • Do not upload another copy if the existing file is correct.

Upload complete shows fewer files than expected

  • Compare completed count with selected files.

  • Review files marked Already uploaded.

  • Check for files still processing.

  • Search the destination folder.

  • Upload only missing files.

Some uploaded files are missing

  • Clear the Storage search field.

  • Confirm the correct folder.

  • Review the upload panel.

  • Check for Already uploaded files.

  • Refresh the page.

  • Upload only missing files.

The uploaded files are in the wrong folder

  • Review the breadcrumb path.

  • Move files if permitted.

  • Ask an administrator before deleting or re-uploading sensitive files.

The browser does not allow multiple file selection

  • Use device multi-select.

  • Try a supported browser.

  • Upload in smaller groups.

  • Confirm upload permissions.

I cannot see the folder upload option

  • Select the arrow beside Upload.

  • Check available options.

  • Use a supported browser.

  • Confirm permissions.

  • Contact an administrator if needed.

Preparing folder upload does not finish

  • Keep the page open.

  • Check internet connection.

  • Wait for processing.

  • Avoid starting another upload.

  • Try a smaller folder.

Some folders were not created

  • Check original folder structure.

  • Refresh Storage.

  • Confirm permissions.

  • Remove restricted characters.

  • Upload separately if needed.

A file does not open after upload

  • Confirm it is not processing.

  • Refresh the page.

  • Reopen the file.

  • Download if available.

  • Check file integrity.

An HEIC image does not display

  • Wait for conversion.

  • Refresh viewer.

  • Reopen image.

  • Download original file.

  • Confirm upload completed.

A scanned PDF appears blank

  • Refresh viewer.

  • Reopen PDF.

  • Download and check file.

  • Confirm upload completed.

  • Report if issue persists.
