Shift Note Contributions

Learn how to view, search, review, and manage Shift Note Contributions for participant 24-hour blocks.

Go to Shift Notes

From the left navigation menu, click Shift Notes.

This opens the Shift Note Contributions page.

Participant 24-hour blocks are listed when:

  • A shift starts within the block

  • A shift note contribution exists within the block

Search for a Participant

Use the search field to find shift note blocks by participant name.

You can search for one participant or enter multiple names separated by commas.

Example:

Alice, Bob

This helps you quickly find blocks linked to specific participants.

Review the Contributions Table

The table shows each participant block and its current shift note activity.

Columns include:

  • Participant

  • Block

  • Latest

  • Forms

  • Contributions

  • Contributors

  • Rostered

Use this table to see which participants have notes, forms, contributors, or rostered staff linked to the block.

Open a Participant Block

Click a participant row to open the shift note block.

The block page shows:

  • Participant name

  • Block date

  • Number of contributions

  • Quick action prompts

  • Contribution timeline

  • Details panel

  • Participant activity summary

Use Quick Action Forms

If required forms are available, a Quick action: create form panel may appear.

Available forms may include:

  • Behaviour Record

  • Child Safety Incident Report

  • NDIS Incident Report

Click a form to create a draft for that participant block.

You can also click Dismiss if you do not need to create a form.

Add a Shift Note Contribution

Use the text field at the bottom of the page to add a note.

You can enter what happened during the selected time.

Available actions may include:

  • Add a note

  • Attach a file

  • Add or create a form

  • Record or attach audio, if available

  • Adjust the contribution time

  • Send the contribution

Click the send icon when the contribution is ready.

Review the Details Panel

The Details panel gives a snapshot of the 24-hour participant block.

It may show:

  • State, such as Open

  • Forms, such as All complete

  • Date

  • Lock button

Use this section to check whether the block is open and whether required forms are complete.

Lock a Shift Note Block

Click Lock to stop further updates to the block.

Locking a block prevents:

  • New contributions

  • Attachments

  • Form drafts

  • Read/write timeline changes

Only staff with admin access can unlock the block again.

Check Shift Note Completion

If shift notes are incomplete, a warning panel may appear.

This can show:

  • Which staff member has an incomplete shift note

  • Which shift is affected

  • Whether the required note or form is missing

Use this warning to follow up before finalising the block.

Review Participant Summary

The Participant panel shows a snapshot of activity in the 24-hour block.

It may include:

  • Name

  • Contributors

  • Contributions

  • Attachments

  • Last Activity

This helps you quickly confirm whether the participant block has been updated.

Important Notes

  • Shift Note Contributions are organised by participant and 24-hour block.

  • A block may appear even if there are no contributions yet, as long as a shift starts within that block.

  • Required forms may appear as quick actions.

  • Locked blocks become read-only.

  • Incomplete shift notes should be reviewed before the block is considered complete.

Troubleshooting

If you cannot find a participant block:

  • Check the participant name spelling.

  • Search using one participant name at a time.

  • Clear the search field and try again.

  • Check whether the block is on another page.

If you cannot add a contribution:

  • Check whether the block is locked.

  • Confirm that you have permission to add shift notes.

  • Refresh the page and try again.

If forms are showing as incomplete:

  • Open the required form.

  • Complete the missing information.

  • Save or submit the form as required.
