Storage

The Storage section of Diversity Sync'd is a role-based permission system, allowing folders and files to be restricted to specific users or roles. This ensures sensitive documents are only accessible to those with appropriate access.

Accessing the Storage Section

To navigate to the Storage section:

  1. Open the side menu in Diversity Sync'd.

  2. Select Storage.

Your ability to interact with Storage features (such as uploading, deleting, downloading, syncing, or assigning access) will depend on your assigned permissions. For a detailed breakdown, refer to the Permissions Support Article.

Storage Features

Once inside the Storage section, you'll see a list of folders and files available to you based on your permissions. Key features includes:

  • Search

    • Use the search field to find specific files or folders.

    • Only items you have access to will appear in search results.

  • Options Dropdown

Located next to the search field, the Options dropdown allows you to:

  • Create or Upload folders and files.

  • Select All items currently in view.

  • After selecting items, reopen the dropdown to:

    • Copy

    • Cut

    • Delete

    • Assign Roles

    • Assign Users

    • Cancel Selection

Microsoft OneDrive Integration

Staff are able to sync and edit files with Microsoft OneDrive. Here's how it works:

Connecting to OneDrive

  • Within the options dropdown at the top right of the Storage, select Microsoft Sign In option.

  • Carefully read the modal to better understand how this feature works.

  • Log in with your Microsoft account when prompted.

  • Select the three dotted icon next to a file.

  • Choose to open the file in Microsoft OneDrive.

Editing Options

You'll have two options when opening files in OneDrive from Diversity Sync'd:

  1. Open in OneDrive (Sync Enabled)

    • Changes made will automatically sync back to Diversity Sync'd.

    • The original file will be overwritten with the updated version.

    • Auto-save is enabled.

  2. Open a New Copy in OneDrive

    • Changes will not sync back to Diversity Sync'd.

    • The original file remained unchanged.

Note: A temporary file is created in your OneDrive during this process. This file may need to be manually cleaned up later.

Permissions and Capabilities

This guide assumes staff have the Navigate Storage Without Restrictions permission. With this level of access, staff can:

Folders

  • Assign roles

  • Assign users

  • Copy

  • Cut

  • Rename

  • Delete

Files

  • Download

  • Preview (for images and PDFs)
