Open Storage
From the left navigation menu, click Storage.
The Storage page shows the folders and files you can access within your organisation.
The table includes:
Name
Access
Type
Size
Modified
Search Storage
Use the Search storage field to find a folder or file.
When you are inside a folder, the search field updates to search within that folder.
Create a New Folder
Click New folder.
Enter a folder name, then click Create.
Click Cancel if you do not want to create the folder.
Upload a File
Click Upload.
Choose the file from your device, then confirm the upload.
When the upload finishes, an Upload complete message appears.
Open a Folder
Click a folder name to open it.
The breadcrumb at the top shows your current location, such as:
Organisation name > Folder name
Use the breadcrumb to move back to a previous folder.
Select Items
Tick the checkbox beside a folder or file to select it.
After selecting an item, the action toolbar appears.
Available actions may include:
Clear
Cut
Copy
Assign Roles
Assign Users
Download
Delete
The available actions depend on the item type and your permissions.
Use the Item Action Menu
Click the three-dot menu beside a folder or file to open more actions.
For folders, options may include:
Rename
Cut
Copy
Assign Roles
Assign Users
Delete
For files, options may include:
Download
Preview
Rename
Cut
Copy
Delete
Preview a File
Open the file action menu and click Preview.
The preview page shows the file content and file details, such as:
File name
File type
File size
Dimensions, if it is an image
Modified date
Version
You may also see options to share link, download, view version history, or adjust the zoom.
Assign Roles to a Folder
Select a folder, then click Assign Roles.
Choose the roles that should have access to the folder, then click Confirm.
A success message appears when the roles have been assigned.
Important: Assigning roles may override existing role assignments for the selected folder.
Assign Users to a Folder
Select a folder, then click Assign Users.
Choose the staff members who should have access to the folder, then click Confirm.
A success message appears when the users have been assigned.
Important: Assigning users may override existing user assignments for the selected folder.
Move or Copy Items
Select one or more items, then click Cut or Copy.
Navigate to the folder where the item should go, then complete the move or copy action.
A confirmation message may appear, such as Moved.
Delete Items
Select the item you want to delete, then click Delete.
A confirmation modal appears. Click Delete again to confirm.
Deleted items are moved to Trash and may be recoverable.
Open Trash
Click Trash in the Storage table.
The Trash page shows deleted items and details such as:
Name
Original location
Size
Deleted
Deleted by
Click Back to Storage to return to the main Storage page.
Important Notes
Storage access is controlled by your assigned permissions.
The Access column shows who can access an item, such as a role name.
New folder creates a folder in your current location.
Upload adds files to the current folder.
Assign Roles and Assign Users are used to control folder access.
Deleted items are moved to Trash and may be recoverable.
Some actions may be disabled if they do not apply to the selected item.
The actions available in the toolbar and three-dot menu depend on your permissions.
Troubleshooting
If you cannot see Storage:
Check that your account has access to the Storage section.
Ask an administrator to review your role permissions.
If you cannot create a folder:
Make sure you have permission to create folders.
Enter a folder name before clicking Create.
Refresh the page and try again.
If your upload does not complete:
Check your internet connection.
Try uploading the file again.
Confirm the file type and size are allowed.
Ask an administrator if upload restrictions apply.
If you cannot find a file or folder:
Use the Search storage field.
Check whether you are inside the correct folder.
Check Trash if the item may have been deleted.
If you cannot assign roles or users:
Confirm that you selected a folder.
Check that your role allows access management.
Ask an administrator to update your permissions.
If a user cannot access a folder:
Check the folder’s assigned roles and users.
Confirm the user has the correct role.
Reassign folder access if needed.
If you deleted the wrong item:
Open Trash.
Check whether the item is recoverable.
Ask an administrator if you cannot restore it.
