School Attendance

Learn how to log and manage school absences so reconciliation can apply school cut-out hours correctly.

Open School Attendance

  1. Go to Child Safety in the left-hand menu.

  2. Select Reconciliation.

  3. Open the School attendance tab.

This page is used to log school absences for residents so the system can apply school cut-out hours correctly.

Select a House

  1. Click the Select a house dropdown.

  2. Choose the house you want to review.

Available houses may include:

  • Oxford Street Site

  • Bright Futures Care Home

  • Brisbane Respite House

  • Sunshine Support Hub

  • Northside Youth House

After a house is selected, the attendance grid will show the residents linked to that house.

Review the Attendance Grid

The attendance grid shows each resident and their expected school attendance for the selected week.

Each row may include:

  • Young person name

  • Expected school hours per day

  • Expected school start and end time

  • Daily attendance status

The grid may show:

  • Attended when the resident is expected to attend school

  • Absent when an absence has been logged

  • A dash when no school attendance is expected for that day

Use this grid to check planned school attendance and identify any absences that need to be logged.

Move Between Weeks

Use Previous and Next to move between weeks.

You can also use the Week of date picker to jump to a specific week.

The grid will update based on the selected week and the school-attendance assumptions for each resident.

Log an Absence

  1. Select the correct house.

  2. Find the relevant young person.

  3. Click the Attended status for the day the resident was absent.

  4. The Log absence window will open.

  5. Enter the number of Hours Absent.

  6. Select the absence Reason.

  7. Add Notes, if required.

  8. Click Log absence.

Available absence reasons may include:

  • Sick

  • Suspended

  • School closed

  • Refused

  • Medical

  • Family

  • Other

Use the Notes field to add helpful context, such as school confirmation, suspension details, medical information, or follow-up notes.

Confirm the Absence Was Logged

After the absence is logged, the grid will update.

The selected day will show the number of hours absent.

A confirmation message may also appear, such as Absence logged.

The next reconciliation run will reflect the logged absence.

Edit an Absence

  1. Click the existing absence entry in the grid.

  2. The Edit absence window will open.

  3. Update the Hours Absent, Reason, or Notes.

  4. Click Save.

Use this option when an absence was entered incorrectly or needs more detail.

Remove an Absence

  1. Click the existing absence entry in the grid.

  2. The Edit absence window will open.

  3. Click Remove.

  4. Confirm the change, if prompted.

After the absence is removed, the day will return to Attended on the next run.

A confirmation message may appear, such as Absence removed.

Troubleshooting

If no residents appear in the grid:

  • Confirm the correct house is selected.

  • Check that residents are assigned to the selected house.

  • Check that school-attendance assumptions have been added in the Houses tab.

  • Confirm the selected week is within the resident’s effective attendance dates.

If a day shows a dash:

  • The resident may not be expected to attend school on that day.

  • Check the resident’s selected school days in the Houses tab.

  • Check the Effective From and Effective Until dates.

If you cannot log an absence:

  • Confirm the day shows Attended.

  • Check that you have permission to manage school attendance.

  • Confirm the selected house and week are correct.

  • Refresh the page and try again.

If an absence does not affect reconciliation immediately:

  • Wait for the next reconciliation run.

  • Check the Review queue after the next run.

  • Confirm the absence was saved correctly.
