Create/Edit Sites

Learn how to create, update, filter, and archive sites, including site details, assigned managers, site files, and reconciliation settings.

Open Sites

From the left navigation menu, click Sites.

The Sites page shows the work sites your organisation operates from. Each site can have a manager, a branch, and rostered shifts.

You can view sites by:

  • Active

  • Archived

Search or Filter Sites

Use the Filter sites search field to find a site by name.

Use the All Branches dropdown to filter the list by branch.

If there are no sites yet, you will see the No sites yet message and an Add first site button.

Create a New Site

Click New Site.

If this is your first site, you can also click Add first site.

This opens the site details page, where you can add the site information.

Add Site Details

Complete the fields in the Site section.

Required fields include:

  • Site Name

  • Address

Other fields may include:

  • Details

  • Program

  • Sleepover Start

  • Contact

  • Assigned Manager

Click Save when you are done.

A success message will appear when the site has been created or updated.

Edit an Existing Site

From the Sites list, click the site you want to edit.

Update the required fields, then click Save.

A message such as Update Successful will appear when the site has been saved.

Open Site Files

On the site profile page, use the Site Files dropdown.

Select a directory to view files linked to the site.

This helps you quickly access site-related documents stored in Storage.

Manage Site Assets

Scroll to the Assets section.

Use this area to add or remove assets linked to the site.

Click Save in the Assets section after making changes.

Review Hours Reconciliation

Scroll to Hours Reconciliation.

This section is used to configure expected funded hours and related reconciliation settings for the site.

Available settings may include:

  • Enable hours reconciliation

  • Expected Hours

  • Period

  • Apply a 4-hour cutout

  • Enable contingency

  • Reviewer Role

  • Original Funded Ratio

  • Operational Ratio

  • Baseline Effective From

  • Original Budget Assumptions

  • Operational Notes

  • School-attendance assumptions

Click Save after updating these settings.

Archive a Site

Scroll to the Archive section at the bottom of the site profile page.

Click Archive.

A confirmation window will appear. Click Archive again to confirm.

Archiving removes the site from active rostering, but historical shifts at that location remain linked.

View Archived Sites

Return to the Sites list and click the Archived tab.

Archived sites are shown separately from active sites.

If the site was archived successfully, you may see a confirmation message such as Archive Successful.

Important Notes

  • Sites are used for rostering and operational records.

  • Site Name and Address are required.

  • Each site can have an Assigned Manager.

  • The Active tab shows sites currently available for rostering.

  • The Archived tab shows sites removed from active rostering.

  • Archived sites keep their historical shift records.

  • Site Files only shows directories connected to that site.

  • Some sections, such as Hours Reconciliation, may depend on your organisation’s setup.

Troubleshooting

If you cannot see Sites:

  • Check that your account has access to the Sites section.

  • Ask an administrator to review your permissions.

If you cannot create a site:

  • Confirm that you can see the New Site button.

  • Complete all required fields.

  • Ask an administrator to check your create permissions.

If the Save button is disabled:

  • Make sure Site Name is completed.

  • Make sure Address is completed.

  • Check whether any required dropdown fields are missing.

If the site does not appear in the list:

  • Clear the Filter sites search field.

  • Check the All Branches filter.

  • Check the Archived tab.

If Site Files is empty:

  • Confirm that folders are linked to the site.

  • Check your Storage access.

  • Ask an administrator to review the site file setup.

If Hours Reconciliation does not load:

  • Refresh the page and try again.

  • Check whether reconciliation settings are enabled for your organisation.

  • Ask an administrator or support team to review the setup.

If you archived the wrong site:

  • Go to the Archived tab.

  • Open the site and check whether it can be restored.

  • Ask an administrator if you cannot unarchive it.
