Billable Items Configuration

Learn how to view, search, clear, and sync NDIS billable service items used for invoicing and claim setup.

Open Billable Items

From the left navigation menu, click Admin.

At the top of the Admin page, click Configuration.

In the left-side configuration menu, click Invoicing, then select Billable Items.

This opens the Billable Items page.

This page is used to manage NDIS billable service items, pricing, and support categories.

Review the Billable Items Table

The table shows the available NDIS billable service items.

Columns shown include:

  • Item Number

  • Item Name

  • Price Cap

  • Unit

  • GST

  • Category

Use this table to review item codes, pricing, units, GST status, and the support category linked to each item.

Search for a Service Item

Use the Search service items field to find a specific billable item.

You can search by item number, item name, or other visible item details.

This is helpful when checking whether a specific NDIS item exists in the catalogue.

Move Through the Item List

The page may show many billable items.

Use the pagination controls at the bottom of the table to move between pages.

In the screenshot, the table shows 1 to 25 of 635 results.

Use Previous, page numbers, or Next to browse more results.

Sync Billable Items with Xero

Click Sync with Xero to integrate or sync billable items with Xero.

This is used when Xero is connected and your organisation needs billable item details available for accounting or invoicing workflows.

If Xero is not connected, go to the Integrations page first and connect Xero.

Clear All Catalogue Items

Click Clear All if you need to delete the existing billable item catalogue.

A confirmation window will appear.

The confirmation message explains that all catalogue items will be deleted and that this action cannot be undone.

Use Clear All only when you want to upload or replace the current catalogue with a completely new NDIS catalogue.

Click Delete All to confirm, or click Cancel to keep the existing catalogue.

Important Notes

  • Billable Items are used for invoicing and NDIS claim setup.

  • The item catalogue may contain many items, so use the search field when looking for a specific item.

  • Clear All deletes all catalogue items and cannot be undone.

  • Use Clear All only when replacing the catalogue with a new one.

  • Sync with Xero requires the Xero integration to be connected.

  • Pricing, GST, units, and categories should be checked carefully before using items for invoicing.

Troubleshooting

If you cannot find a billable item:

  • Check the item number spelling.

  • Try searching by item name.

  • Clear the search field and browse the paginated list.

  • Confirm the catalogue has been uploaded or synced correctly.

If Sync with Xero does not work:

  • Check whether Xero is connected in Admin > Integrations.

  • Confirm that you have permission to use the integration.

  • Refresh the page and try again.

  • Ask an administrator to check the Xero connection.

If you clicked Clear All by mistake:

  • Click Cancel in the confirmation window.

  • Do not click Delete All unless you are sure you want to remove all catalogue items.

If catalogue items were deleted:

  • Upload or sync the correct catalogue again.

  • Check with an administrator before replacing live billing data.
