Shift Billables

Learn how to review pending NDIS billables grouped by shift, search records, filter billable status, and adjust the date range before invoicing.

Before You Start

You need access to Finance & Admin and Invoicing.

Shift billables appear when there are NDIS billable items connected to shifts. If there are no matching shifts in the selected date range, the page will show an empty state.

Open the Shift Billables tab

From the left sidebar, go to Finance & Admin.

Select Invoicing.

At the top of the page, select the Shift Billables tab.

This page shows pending NDIS billables grouped by shift, ready to be invoiced.

Review the Shift Billables page

The page includes:

  • A search bar

  • A Billables status filter

  • A date range selector

  • Previous and next date range arrows

  • A shift billables list or an empty state

If no shifts match the selected range, the page will show No shifts in this range.

Search for shift billables

Use the search bar to search by:

  • Participant

  • Staff member

  • Site

This helps you quickly find shift billables when there are many records.

Filter by billables status

Select the Billables status dropdown.

Available options include:

  • All

  • Complete

  • Shift Modified

  • Incomplete

Use this filter to review specific groups of shift billables.

For example, select Incomplete to find shift billables that still need attention before invoicing.

Change the date range

Use the date range controls to review billables for a specific period.

You can:

  • Select the previous arrow to move to an earlier date range

  • Select the next arrow to move to a later date range

  • Select the date range to open the calendar picker

The selected range controls which shifts appear on the page.

Use the calendar picker

Select the date range field to open the calendar picker.

Choose a Start date and an End date.

Then select Apply to update the page.

The shift billables list will refresh based on the selected date range.

Use Jump to today

If the page shows No shifts in this range, select Jump to today.

This returns the date range to the current period.

Use this when you are viewing an older or future date range and want to quickly return to today.

Review matching shift billables

When shift billables are available, review the grouped shift records.

Check each item before invoicing, especially if the status shows Incomplete or Shift Modified.

Use the search, status filter, and date range together to narrow the list.

Important Notes

  • The Shift Billables page only shows shift billables that match the selected filters and date range.

  • If no records appear, it does not always mean there are no billables. The selected status or date range may be too narrow.

  • The Billables status filter helps identify billables that are complete, incomplete, or affected by shift changes.

  • Shift billables must be reviewed before they are ready for invoicing.

Troubleshooting

  • If no shifts appear, select Jump to today or widen the date range.

  • If expected shifts are missing, check the selected Billables status filter.

  • If the search does not return results, try searching by participant name, staff name, or site name.

  • If billables appear incomplete, review the related shift and billing details before invoicing.

  • If you cannot access the page, check your permissions for Invoicing.
