Invoicing General Settings

Learn how to configure provider details, invoice terms, payment instructions, NDIS billing defaults, invoice contact details, and Xero settings.

Go to Admin

From the left navigation menu, click Admin.

At the top of the Admin page, click Configuration.

In the left-side configuration menu, click Invoicing.

Then select General Settings.

Add the Provider Name

In the Provider Name section, enter your registered NDIS provider name.

This name will appear on invoices.

After entering or updating the provider name, click Save.

Add the Provider ABN

In the Provider ABN section, enter your Australian Business Number.

This is used for invoicing and compliance.

Example format:

12 345 678 901

After entering or updating the ABN, click Save.

Add the NDIS Registration Number

In the NDIS Registration Number section, enter your NDIS provider Organisation ID.

This is usually the ID that starts with 405.

This may be used for bulk payment exports.

After entering or updating the registration number, click Save.

Set Invoice Terms

In the Invoice Terms section, enter the default number of days for invoice payment terms.

For example, entering 14 means invoices are due within 14 days.

After updating the invoice terms, click Save.

Add Payment Details

In the Payment Details section, enter the payment instructions or bank details that should appear on invoices.

This may include details such as:

  • Bank account name

  • BSB

  • Account number

  • Payment reference instructions

  • Any other payment instructions your organisation wants clients or plan managers to follow

After entering or updating the payment details, click Save.

Set NDIS Billable Defaults

In the NDIS Billable Defaults section, choose the default pricing state for NDIS billable prices.

Use the Default State For NDIS Billable Prices dropdown to select the relevant state.

If this is set, new billable rows will default to that state.

After selecting a default, click Save.

Add Invoice Contact Name

In the Invoice Contact Name section, enter the staff member name used for invoice-related enquiries.

This contact may appear on invoices or be used as the main contact for billing questions.

After entering or updating the contact name, click Save.

Add Invoice Contact Phone

In the Invoice Contact Phone section, enter the phone number used for invoice-related enquiries.

Select or confirm the country code, then enter the phone number.

After entering or updating the phone number, click Save.

Add Invoice Contact Email

In the Invoice Contact Email section, enter the email address used for invoice-related enquiries.

Example:

After entering or updating the email address, click Save.

Review Xero Integration

The Xero Integration section shows whether a Xero account is connected.

If no Xero account is connected, a message will appear saying that no Xero accounts are connected.

Use the Integrations page link to connect Xero.

Once connected, Xero can be used to configure accounting integration settings.

Important Notes

  • Each section has its own Save button.

  • Make sure you click Save in the section you updated.

  • Provider name, ABN, and NDIS registration details should match your organisation’s official records.

  • Invoice terms affect the default payment due period.

  • Payment details may appear on invoices, so check the information carefully before saving.

  • Xero settings may only be available once Xero is connected through Admin > Integrations.

Troubleshooting

If changes are not saving:

  • Make sure you clicked the correct Save button for the section you edited.

  • Check that all required fields are completed.

  • Refresh the page and try again.

  • Ask an administrator to check your permissions.

If invoice details look incorrect:

  • Review the Provider Name.

  • Check the Provider ABN.

  • Check the NDIS Registration Number.

  • Review the invoice contact details.

  • Confirm that the latest settings were saved.

If Xero is not connected:

  • Go to Admin > Integrations.

  • Open the Xero integration.

  • Connect your Xero account.

  • Return to Configuration > Invoicing > General Settings after connecting.
