Xero Payment Accounts and Payment Settings

Configure the Xero accounts used when sending claims and recording claim payments.

Xero settings are configured separately for each connected Xero organisation. When recording a payment in Xero, the configured Payment Account is used as the default Paid Into account, but another available account can be selected when recording the individual payment.

1. Open the Xero integration settings

  1. Go to Admin.

  2. Open Configuration.

  3. Go to Invoicing.

  4. Open the Xero Integration section.

  5. Review the Xero accounting settings for the selected organisation.

2. Select the Xero organisation

If multiple Xero organisations are connected, configure each organisation separately.

  1. Open the Xero Account dropdown.

  2. Select the organisation you want to configure.

  3. Wait for that organisation's Xero settings to load.

  4. Review the account selections before making changes.

The payment account configured for one Xero organisation does not automatically apply to another organisation.

3. Review Automatic syncing

Use Automatic syncing to control how Xero-linked claim information is synchronised.

When automatic syncing is enabled, payments and relevant status changes made in Xero can update the corresponding claims in Diversity Sync’d.

Before changing this setting, confirm that you are working with the correct Xero organisation.

4. Configure the Chart Of Accounts

The Chart Of Accounts setting controls the Xero account used for the organisation's invoicing configuration.

  1. Open Chart Of Accounts.

  2. Select the required Xero account.

  3. Confirm that the account belongs to the Xero organisation currently selected.

  4. Save the configuration when required.

The selected Xero organisation and its configured Chart of Accounts are used consistently when claims are sent to Xero.

5. Configure the Default Account Code

Review the Default Account Code used for Xero invoicing.

  1. Open Default Account Code.

  2. Choose the required account.

  3. Confirm the account is appropriate for the selected Xero organisation.

  4. Save the settings.

This provides the default account information used where an individual workflow does not require another selection.

6. Configure the Payment Account

The Payment Account is the default Xero account used when a payment is recorded from Diversity Sync’d using Record in Xero.

  1. Open the Payment Account dropdown.

  2. Select the account where claim payments should normally be recorded.

  3. Confirm that the account belongs to the selected Xero organisation.

  4. Click Save.

A payment account must be configured before Record in Xero can be used for that organisation.

7. Configure each Xero organisation separately

If you have more than one connected Xero organisation, repeat the configuration for each organisation.

For example:

  1. Select the first Xero Account.

  2. Configure its Chart Of Accounts, Default Account Code, and Payment Account.

  3. Save the settings.

  4. Select the next Xero Account.

  5. Configure that organisation's accounts separately.

  6. Save again.

This is important because the claim payment workflow uses the settings belonging to the Xero organisation associated with that claim.

8. Use the default Payment Account when recording a payment

After a Payment Account has been configured:

  1. Go to Billing.

  2. Open a Xero-linked claim.

  3. Click Mark as paid.

  4. Enable Record in Xero, where required.

  5. Review the Paid Into field.

The configured Payment Account should appear as the default Paid Into account.

9. Override the Paid Into account for an individual payment

The default Payment Account can be changed for an individual payment where another available receiving account should be used.

  1. Open the claim.

  2. Click Mark as paid.

  3. Enable Record in Xero.

  4. Open Paid Into.

  5. Select the required Xero payment account.

  6. Complete the payment details.

  7. Record the payment.

Changing Paid Into for one payment does not change the organisation's default Payment Account setting.

10. Resolve a missing Payment Account warning

If no Payment Account has been configured for the claim's Xero organisation, Record in Xero may be unavailable and a warning is displayed.

To resolve it:

  1. Note the Xero organisation shown on the claim.

  2. Go to Admin → Configuration → Invoicing → Xero Integration.

  3. Select the same Xero Account.

  4. Configure the Payment Account.

  5. Click Save.

  6. Return to the claim.

  7. Open Mark as paid again.

The Record in Xero payment fields should become available once the required payment account has been configured.

Important notes

  • Configure Xero payment settings separately for each connected Xero organisation.

  • Confirm the correct Xero Account before changing account settings.

  • Payment Account provides the default account used by Paid Into when recording payments in Xero.

  • An individual payment can use a different Paid Into account where required.

  • If Record in Xero is unavailable, check that a Payment Account has been configured for the same Xero organisation associated with the claim.

  • The selected Xero organisation and its configured accounts are used throughout the relevant Xero workflow.
