Invoicing General Settings / Xero Integration Settings

Configure the Xero accounting settings used when claims and payments are processed through Diversity Sync’d.

Xero configuration is managed separately for each connected Xero organisation. Always confirm the correct Xero Account before changing account, payment, or tracking settings.

1. Open the Xero Integration settings

  1. Go to Admin.

  2. Open Configuration.

  3. Select Invoicing.

  4. Scroll to Xero Integration.

  5. Review the settings for the currently selected Xero organisation.

The Xero Integration section contains settings such as:

  • Xero Account

  • Automatic syncing

  • Chart Of Accounts

  • Default Account Code

  • Payment Account

  • Client Tracking Category

  • House Tracking Category


2. Select the Xero Account

If multiple Xero organisations are connected, select the organisation you want to configure.

  1. Open the Xero Account dropdown.

  2. Select the required Xero organisation.

  3. Wait for its settings to load.

  4. Review the displayed account configuration before making changes.

Settings are organisation-specific. An account configured for one Xero organisation should not be assumed to apply to another.


3. Review Automatic syncing

Use Automatic syncing to control how Xero-linked claim information is synchronised.

When Automatic syncing is enabled, payments and relevant status changes made in Xero can update the corresponding claims in Diversity Sync’d.

The interface also notes that turning this setting off returns manual control and allows claims to be re-synchronised using Sync from Xero.

Before changing this setting:

  1. Confirm the correct Xero Account is selected.

  2. Review whether automatic synchronisation is required for that organisation.

  3. Change the setting only when appropriate.

  4. Save the configuration if required.


4. Configure the Chart Of Accounts

Use Chart Of Accounts to select the Xero account used by the organisation's invoicing configuration.

  1. Open Chart Of Accounts.

  2. Select the required Xero account.

  3. Confirm the account belongs to the selected Xero organisation.

  4. Save the settings.

When claims are sent to Xero, Diversity Sync’d consistently uses the selected Xero organisation and its configured Chart of Accounts.


5. Configure the Default Account Code

The Default Account Code provides the default Xero account used where an individual invoicing workflow does not require a different selection.

To configure it:

  1. Open Default Account Code.

  2. Select the required account.

  3. Confirm that it belongs to the selected Xero organisation.

  4. Click Save after completing the required changes.

Review this setting whenever the organisation's Xero account configuration changes.


6. Configure the Payment Account

The Payment Account is the default Xero account used when claim payments are recorded through Record in Xero.

  1. Open the Payment Account dropdown.

  2. Select the Xero account where payments should normally be recorded.

  3. Confirm the account belongs to the selected Xero organisation.

  4. Click Save.

The selected Payment Account appears as the default Paid Into account when recording a Xero payment from a claim.

If no Payment Account is configured, Record in Xero may be unavailable until the setting is completed.


7. Configure Client Tracking Category

Where Xero tracking is used for clients, review the Client Tracking Category setting.

  1. Open Client Tracking Category.

  2. Select the required Xero tracking category.

  3. Leave the field as None if no client tracking category is required.

  4. Save the settings after making a change.

Confirm that the selected tracking category belongs to the current Xero organisation.


8. Configure House Tracking Category

Where Xero tracking is used for houses or sites, review the House Tracking Category setting.

  1. Open House Tracking Category.

  2. Select the required Xero tracking category.

  3. Leave the field as None if house tracking is not required.

  4. Save the settings after making a change.


9. Save the Xero settings

After reviewing or changing the configuration:

  1. Confirm the correct Xero Account is still selected.

  2. Review the account and tracking selections.

  3. Click Save.

  4. Wait for the settings to finish saving before selecting another Xero organisation.

Repeat this process for each connected Xero organisation that requires separate configuration.


10. Configure multiple Xero organisations

When more than one Xero organisation is connected, configure each organisation separately.

For each organisation:

  1. Select the required Xero Account.

  2. Review Automatic syncing.

  3. Configure Chart Of Accounts.

  4. Configure Default Account Code.

  5. Configure Payment Account.

  6. Review any tracking categories.

  7. Click Save.

  8. Select the next organisation and repeat the process.

This helps ensure claims and payments use information belonging to the correct Xero organisation. Diversity Sync’d also prevents stale account or contact information from one connected organisation being used for another.


11. How these settings affect sending claims to Xero

When a claim is sent to Xero, the selected organisation's configuration is used during the workflow.

This may include:

  • Xero Organisation

  • Chart Of Accounts

  • Xero customer matching

  • Organisation-specific account information

If the expected account or customer is unavailable, confirm that the correct Xero organisation is selected before continuing.

The invoicing workflow has been improved so the selected organisation and its configured Chart of Accounts remain consistent throughout claim sending.


12. How these settings affect claim payments

When Record in Xero is used from a claim, the Payment Account configured for that claim's Xero organisation is used as the default Paid Into account.

To check it:

  1. Go to Billing.

  2. Open a Xero-linked claim.

  3. Click Mark as paid.

  4. Enable Record in Xero, where applicable.

  5. Review Paid Into.

You can select another available receiving account for an individual payment when required.


13. Resolve missing Xero configuration

If a Xero workflow cannot continue:

  1. Note the Xero organisation associated with the claim.

  2. Go to Admin → Configuration → Invoicing → Xero Integration.

  3. Select the same Xero Account.

  4. Review the required account configuration.

  5. Add or correct any missing settings.

  6. Click Save.

  7. Return to the claim and try the Xero action again.

For example, if Record in Xero reports that a Xero payment account is required, configure the Payment Account for the same Xero organisation shown on the claim.


Important notes

  • Configure Xero settings separately for each connected Xero organisation.

  • Always confirm the correct Xero Account before changing configuration.

  • Account and contact information should belong to the currently selected Xero organisation.

  • Payment Account provides the default Paid Into account for Xero payments.

  • Automatic syncing controls whether relevant Xero payment and status changes are reflected automatically.

  • Use Sync from Xero where manual synchronisation is available and required.

  • Save changes before configuring another Xero organisation.

    • If a Xero workflow displays missing or unexpected information, review the selected organisation and its configuration before continuing.
