Invoicing Overview

Use Invoicing to review billing activity, manage claims and payments, access participant plans and interactions, and move between the main invoicing workflows.

The Invoicing area provides access to current billing totals, recent claim activity, payment information, weekly billing tools and Xero-related claim workflows.

1. Open Invoicing

  1. Select Invoicing from the main navigation.

  2. The invoicing workspace opens.

  3. Use the tabs across the top to move between the available invoicing areas.

The current navigation includes:

  • Overview

  • Clients

  • Plans

  • Interactions

  • Calendar

  • Shift Interactions

  • Billing

  • Staff KPIs


2. Review the Overview

Open Overview to review high-level invoicing and billing information.

The overview helps you understand recent billing activity before opening individual claims, payments or participant records.

Use the available cards and links to move into more detailed invoicing workflows.


3. Review billing at a glance

The Billing area includes an At a glance section that summarises current claim activity.

Depending on the current data, this can include:

  • Total spending

  • This month

  • Outstanding

  • Claims in flight

  • Last month

  • Success rate

Use these cards to quickly understand the current billing position.


4. Review cash flow

The Cash flow section shows how the current billed amount is divided between paid and outstanding claims.

Review:

  • Total billed

  • Paid amount

  • Outstanding amount

  • Settlement progress

This provides a quick view of the value that has been paid compared with the amount still awaiting payment.


5. Review recent claims

Use Recent claims to quickly open recently created or updated claims.

The card can show information such as:

  • Claim reference

  • Claim status

  • Client

  • Amount

  • Date

Select a claim to review its full details.

Use View all when you need to open the complete claims list.


6. Review recent payments

Use Recent payments to review claims that have recently received payment activity.

This is useful when you need to check paid or partially paid claims without searching the full claims list.

Select View all to review additional payment activity.


7. Use Quick actions

The Quick actions section provides shortcuts to common invoicing tasks.

Available actions can include:

  • Create new claim

  • Export claims

  • Manage claims

  • Review open claims

  • Recent payments

  • Weekly billing preview

  • Reconcile shift billables

  • Log a new interaction

  • Browse participant plans

  • View invoicing reports

Select the action that matches the task you want to complete.


8. Create and manage claims

Use the Billing area when you need to work directly with claims.

From here you can:

  1. Create a new claim.

  2. Open the full claims list.

  3. Review claim status.

  4. Review Xero status.

  5. Open individual claims.

  6. Manage payments and other available claim actions.

Claims that are linked to Xero display their current Xero status in the claims list.


9. Open Weekly Billing

Use Weekly billing preview when you need to review billable shifts before creating claims.

  1. Open Overview or the Billing dashboard.

  2. Find Quick actions.

  3. Select Weekly billing preview.

  4. Review the available billable activity.

  5. Continue with the weekly billing workflow as required.

Weekly Billing also supports Xero-related workflows where configured.


10. Review participant plans

Use Plans or Browse participant plans to review funding information before raising a claim.

This can help you check the participant's available plan information before proceeding with billing.

Select the relevant participant or plan to open its details.


11. Review interactions

Use Interactions to review service interactions associated with billing.

The Interactions area can be used alongside:

  • Calendar

  • Shift Interactions

  • claim creation

  • weekly billing

Review the interaction information before creating or reconciling billable activity.


12. Review Staff KPIs

Use Staff KPIs to access staff-related invoicing performance information where available.

Select Staff KPIs from the top navigation to open the current reporting view.

This area is separate from claim processing and Xero configuration.


13. Access Xero-related claim workflows

Xero-related claim actions are available from the relevant Billing and claim screens.

Depending on the claim, you may be able to:

  • Send claims to Xero

  • Send multiple claims to Xero

  • Select the appropriate Xero organisation

  • Review Xero customer matching

  • Record claim payments in Xero

  • Synchronise claim information from Xero

  • Re-issue a claim when the previous Xero invoice has been voided or deleted

Multiple connected Xero organisations are supported, and the selected organisation and its configured account information are used throughout the relevant invoicing workflow.

Important notes

  • Use Overview for a high-level view of invoicing activity.

  • Use Billing when you need to manage individual claims and payments.

  • Use Quick actions for faster access to common billing workflows.

  • Review Recent claims and Recent payments when you need to return to recent activity.

  • Use Weekly billing preview before creating claims from billable shifts.

  • Use Plans, Interactions, Calendar and Shift Interactions to review supporting billing information.

  • Xero-specific configuration is managed separately from the general Invoicing overview.

  • When multiple Xero organisations are connected, confirm the correct organisation before completing Xero-related claim actions.
