Invoicing Overview

Learn how to use the Invoicing Overview page to monitor billing performance, review claims, track revenue, and start common invoicing actions.

Open Invoicing

From the left-hand menu, go to Finance & Admin.

Select Invoicing.

This opens the Invoicing Overview page.

Review the Invoicing Tabs

Across the top of the Invoicing page, you will see tabs for different invoicing areas.

Available tabs may include:

  • Overview

  • Clients

  • Plans

  • Interactions

  • Calendar

  • Shift Billables

  • Billing

  • Staff KPIs

Use these tabs to move between invoicing records, billing workflows, claim activity, and performance views.

Check the At a Glance Cards

The At a glance section gives you a quick summary of key invoicing metrics.

These cards may include:

  • This Month

  • Outstanding

  • Pending Claims

  • Active Interactions

  • Total Clients

  • Success Rate

These cards help you quickly understand current billing activity and payment progress.

Review the Performance Funnel

The Pipeline performance card shows claim movement across the billing lifecycle.

Use this section to understand whether claims are moving through the process or if there are no submitted claims yet.

If there are no submitted claims, lifecycle rates will appear once claims start moving through the pipeline.

Read the Headline Insight

The Headline insight card summarises the most important invoicing message on the page in plain English.

This is useful for quickly understanding what action may be needed next.

For example, it may suggest creating the next claim, adding a plan, or logging interactions to start seeing revenue and claim activity.

Review Revenue and Claim Status

The Revenue trend card shows paid claim revenue over time.

The Claim status breakdown shows claims by current status, such as:

  • Pending

  • Submitted

  • Partially Paid

  • Approved

  • Paid

Use these sections to monitor revenue movement and understand where claims are sitting in the process.

Check Top Participants and Recent Claims

The Top participants card shows clients with the highest billed activity.

The Recent claims card shows the latest claims and their status.

If there are no billing records or claims yet, these sections will show an empty state.

Use Quick Actions

The Quick actions section helps you jump straight into common invoicing tasks.

Available quick actions may include:

  • New interaction

  • New plan

  • New claim

  • New client

  • Key binds

Select the action you need to start the related workflow.

Review Recent Activity

The Recent activity section shows invoicing events across your team.

This may include updates such as uploaded catalogue items, created claims, or other billing-related actions.

Use this section to check recent team activity without opening each record manually.

Important Notes

  • The Overview page is a dashboard. It helps you monitor invoicing activity, but most detailed work happens in the tabs.

  • Some cards may show empty states if no clients, plans, interactions, or claims have been created yet.

  • Claim data only appears once billing activity has started.

  • Recent activity can help you track changes made by your team.

  • For claims to appear correctly, the related participants, plans, and interactions must be set up first.

  • Interactions must be marked as billable before they can be included in a claim.

Troubleshooting

  • I cannot see Invoicing

    Check that you have access to Finance & Admin and permission to view Invoicing.

  • The Overview page is empty

    This usually means there are no plans, interactions, claims, or billing records yet. Create or import the required records first.

  • No billable interactions appear when creating a claim

    Check that the participant has interactions marked as billable and that they have not already been claimed.

  • The Create claim button is not ready

    Make sure a participant has been selected and that there are valid billable interactions to include.

  • The data looks outdated

    Refresh the page and check the relevant tabs, such as Clients, Plans, Interactions, and Billing.
