Roster View and Functionality

Learn how to navigate the Roster, filter staff, participants and sites, change views and dates, review shift cards, use roster tools, select shifts for bulk actions, and export roster information.

Open the Roster

  1. From the left navigation menu, select Roster.

  2. The main roster grid will open.

  3. Use the roster to review shifts by date, staff member, participant, or site.

The roster may open with a default view based on the page you accessed it from.

Filter the Roster

Use the Filter Staff dropdown at the top left of the roster to choose which records you want to display.

Depending on the selected roster view, you may be able to filter by:

  • Staff

  • Participants

  • Sites

You can select one or more records from the list.

For example, in Staff View, you may select individual staff members. When multiple staff members are selected, the filter may show a summary such as Demo User & 2 more.

Review the Roster Summary

The roster summary appears on the left side above the roster rows.

It may show:

  • Number of staff

  • Number of shifts

  • Total rostered hours

Use the summary to quickly confirm that you are viewing the expected roster information for the selected filters and date range.

Change the Date Range

Use the date selector at the top of the roster to move between roster periods.

You can:

  1. Select the left arrow to move to the previous date range.

  2. Select the right arrow to move to the next date range.

  3. Select the displayed date range to review the current roster period.

The roster updates to show shifts within the selected period.

Choose the Roster View

Use the view dropdown near the top of the roster to organise shifts in different ways.

Available views may include:

  • Staff

  • Participants

  • Sites

For example:

  • Use Staff View to see shifts grouped by staff member.

  • Use Participants View to see shifts grouped by participant.

  • Use Sites View to see shifts grouped by site.

Choose the Calendar Display

Use the display buttons at the top right of the roster to choose the calendar layout.

Available options may include:

  • Week

  • Fortnight

  • Month

The selected display will be highlighted.

For example, when Week is selected, the roster shows one week at a time.

Read Shift Cards

Each shift appears as a card in the roster grid on the relevant date and row.

A shift card may show:

  • Number of shifts

  • Shift time

  • Shift label or description

  • Shift type or status, such as Awake or Day

  • Icons for additional details

  • Status indicators or alerts

Some cells may also show leave information, such as Approved Leave.

Select a shift card when you need to review or manage the shift details.

Use the Options Menu

Select Options at the top of the roster to access additional tools.

Available options may include:

  • Start Selecting

  • Bulk Select

  • Pending Shifts

  • Shift Bidding (beta)

  • Export

  • Export Clock Events

  • Drag & Drop

  • Save as Template

  • Load Template

Some options may only be available when your role has the required permissions.

Select Shifts for Bulk Actions

Before selecting multiple shifts, confirm that you are viewing the correct roster date, staff members, participants, site, and shift status. Bulk changes may affect roster coverage, staff notifications, timesheets, and payroll.

To select multiple shifts:

  1. Select Options.

  2. Select Start Selecting.

  3. Select each shift you want to include.

  4. Selected shifts will be highlighted on the roster.

After selecting shifts, the top menu may show the number of selected shifts, such as 2 Shifts Selected.

Select Clear selection to remove your current selection.

Use Drag and Drop

Where enabled, Drag & Drop lets you move shifts within the roster.

  1. Select Options.

  2. Turn on Drag & Drop.

  3. Move the shift to the required date or roster row.

Only use drag and drop when you are confident the shift should be moved. Moving a shift may affect staff schedules, participant support, sites, or related roster information.

Export Roster Information

Use the Options menu to export roster data.

Available export options may include:

  • Export

  • Export Clock Events

Use Export when you need roster information outside the system.

Use Export Clock Events when you need clock-event data for review, payroll, or reporting.

Save or Load Templates

The Options menu may include tools for reusing roster layouts or patterns.

You can:

  • Select Save as Template to save the current roster setup for future use.

  • Select Load Template to apply an existing roster template.

Templates can help reduce manual work when you regularly create similar roster patterns.

Important Notes

  • The roster updates based on the selected filter, view, date range, and calendar display.

  • When multiple staff members, participants, or sites are selected, the filter may show a summary instead of every selected record.

  • Some roster tools may require additional permissions.

  • Shift icons may show alerts, additional details, or related roster information.

  • Use Clear selection when you no longer need to take action on selected shifts.

  • Review shift details carefully before using bulk actions or drag and drop.

  • Follow your organisation’s approved process before changing shifts that may affect timesheets, clocking, or payroll.

Troubleshooting

I cannot see the Roster page

Check that your role has access to the roster area.

Contact an administrator if you believe you should have access.

The roster is blank

Check that:

  • The selected date range is correct.

  • The staff, participant, or site filter is correct.

  • You are viewing the correct roster type, such as Staff, Participants, or Sites.

  • Shifts have been created for the selected period.

I cannot select shifts

Check that you have:

  1. Selected Options.

  2. Selected Start Selecting.

  3. Selected the required shift cards.

An option is missing or unavailable

Some roster tools are restricted by permissions.

Contact an administrator to confirm whether your role has access to the required option.

Drag and drop is not working

Check that Drag & Drop is turned on in the Options menu.

Also confirm that you are moving the shift to an appropriate date or roster row.
