Roster View and Functionality

Learn how to navigate the Roster, filter staff, change views, adjust date ranges, use options, and select shifts for bulk actions.

Open the Roster

From the left navigation menu, click Roster.

This opens the main roster grid where you can view shifts by date and selected roster type.

Filter the Roster

Use the filter dropdown at the top left of the roster to choose which staff, participants, or sites you want to view.

You can select one or multiple people or items from the list.

For example, in Staff View, you can select:

  • Demo User

  • Ethan Mitchell

  • Liam Walker

  • Additional staff members as needed

After selecting multiple items, the dropdown may show a summary such as Demo User & 2 more.

Review the Roster Summary

The roster summary appears on the left side above the roster rows.

It may show totals such as:

  • Number of staff

  • Number of shifts

  • Total rostered hours

Use this summary to quickly understand the current roster view based on your selected filters and date range.

Change the Date Range

Use the date selector at the top of the roster to move between roster periods.

You can:

  • Click the left arrow to go to the previous date range

  • Click the right arrow to go to the next date range

  • Click the date range to review the current roster period

The roster will update based on the selected dates.

Choose the Roster View

Click the view dropdown near the top of the roster.

Available views may include:

  • Staff

  • Participants

  • Sites

Choose the view that matches how you want to organize the roster.

For example:

  • Use Staff View to see shifts grouped by staff member.

  • Use Participants View to see shifts grouped by participant.

  • Use Sites View to see shifts grouped by site.

Choose the Calendar Display

Use the display buttons at the top right of the roster to choose the roster layout.

Available options include:

  • Week

  • Fortnight

  • Month

The selected view will be highlighted. For example, when Week is selected, the roster shows one week at a time.

Read Shift Cards

Each shift appears inside the roster grid on the relevant date and row.

A shift card may show details such as:

  • Number of shifts

  • Shift time

  • Shift label or description

  • Shift type or status, such as Awake or Day

  • Icons for additional details

  • Status indicators or alerts

Some cells may also show leave information, such as Approved Leave.

Click a shift card when you need to view or manage the shift details.

Use the Options Menu

Click Options at the top of the roster to access additional tools.

Available options may include:

  • Start Selecting

  • Bulk Select

  • Pending Shifts

  • Shift Bidding (beta)

  • Export

  • Export Clock Events

  • Drag & Drop

  • Save as Template

  • Load Template

Some options may only be available if your role has the required permissions.

Select Shifts for Bulk Actions

To select multiple shifts:

  1. Click Options.

  2. Click Start Selecting.

  3. Click the shifts you want to select.

Selected shifts will be highlighted on the roster.

Once shifts are selected, the top menu will show how many shifts are selected, such as 2 Shifts Selected.

You can also click Clear selection to remove your current selection.

Use Drag and Drop

If enabled, Drag & Drop allows you to move shifts within the roster.

To use it:

  1. Open Options.

  2. Turn on Drag & Drop.

  3. Move shifts to the required date or row.

Only use drag and drop if you are confident the shift should be moved. Moving a shift may affect staff schedules, participants, sites, or related roster information.

Export Roster Information

Use the Options menu to export roster data.

Available export options may include:

  • Export

  • Export Clock Events

Use Export when you need roster information outside the system.

Use Export Clock Events when you need clock event data for review, payroll, or reporting.

Save or Load Templates

The Options menu may include template tools.

You can use:

  • Save as Template to save the current roster setup for future use

  • Load Template to apply an existing roster template

Templates help reduce manual work when you use the same or similar roster patterns regularly.

Important Notes

  • The roster updates based on the selected filter, view, date range, and display option.

  • If multiple staff, participants, or sites are selected, the dropdown may only show a summary.

  • Some tools in the Options menu may require additional permissions.

  • Shift icons may indicate extra details, alerts, or related roster information.

  • Use Clear selection if you started selecting shifts but no longer want to take bulk action.

  • Be careful when using Drag & Drop, as moving shifts may change roster details.

Troubleshooting

If you cannot see the Roster page, check that your role has access to the roster area.

If the roster is blank, try:

  • Checking the selected date range

  • Updating the staff, participant, or site filter

  • Switching between Staff, Participants, and Sites

  • Checking whether shifts have been created for that period

If you cannot select shifts, try:

  • Opening Options

  • Clicking Start Selecting

  • Selecting the shift cards again

If an option is missing or disabled, ask an administrator to review your permissions.

If drag and drop is not working, check that Drag & Drop is turned on in the Options menu.
