System Folders

Learn what system folders are in Storage, why they appear, and how to use them safely without disrupting platform-managed files.

Before You Start

System folders are created and managed by the platform. They help keep important files, recovery items, and internal storage processes organised.

Required permissions:

  • Access to Storage

  • Permission to view folders and files

  • Permission to open system folders, if allowed

  • Permission to manage storage items, if required

If you cannot see or open a system folder, ask an administrator to check your Storage permissions.

Open Storage

From the left navigation menu, click Storage.

This opens the Storage page, where you can view folders and files available to your account.

Identify System Folders

System folders are folders created by the platform, not manually created by staff.

They may appear in Storage with names such as:

  • Trash

  • Other platform-managed folders used for internal storage workflows

These folders may have a system-style icon or behaviour that makes them different from normal uploaded folders.

Understand What System Folders Do

System folders help the platform manage files safely and consistently.

They may be used for:

  • Deleted items

  • Recovery flows

  • Internal file handling

  • Platform-managed storage actions

For example, Trash stores deleted items that may still be recoverable.

Open a System Folder

Click the system folder name if you need to view its contents.

Only open or use system folders when you need to check files, recover deleted items, or follow a support instruction.

Avoid Restricted Actions

Some actions may be limited for system folders.

Depending on your permissions, you may not be able to:

  • Rename the folder

  • Move the folder

  • Delete the folder

  • Reorganise the folder manually

This protects system-managed storage workflows from being disrupted.

Return to Normal Storage

If you are viewing a system folder such as Trash, use the available navigation, such as Back to Storage, to return to the main Storage page.

Important Notes

  • System folders are created automatically by the platform.

  • They are used to support Storage features and internal file processes.

  • Do not rename, move, or delete system folders unless support instructs you to do so.

  • Some system folder actions may be restricted even if you can view the folder.

  • Trash is a common system folder used for deleted items.

  • If a system folder looks incorrect or missing, contact an administrator or support.

Troubleshooting

If you cannot see a system folder:

  • Check that you are in the correct Storage location.

  • Use the Search storage field.

  • Ask an administrator to confirm your Storage access.

If you cannot open a system folder:

  • Your role may not allow access.

  • Ask an administrator to review your permissions.

If you cannot rename, move, or delete a system folder:

  • This may be expected.

  • System folders are protected to prevent accidental changes.

  • Contact support if you believe the folder needs to be changed.

If files are missing from a system folder:

  • Refresh the page.

  • Check whether you are viewing the correct folder.

  • Ask an administrator or support team to review the item history.
