Integrate with Xero

Learn how Admins and payroll users can connect Diversity Sync’d to Xero and prepare payroll, timesheets, pay rates, allowances, invoices, and contacts.

For Admins, Managers, and payroll users: Use this article to connect Diversity Sync’d to Xero and begin payroll setup.

Staff members should contact their manager or payroll administrator if they have questions about payroll, pay rates, allowances, or timesheets.

Important: Only connect, disconnect, or change Xero organisation settings if you are authorised to manage payroll integrations.

Go to Admin

From the left navigation menu, select Admin.

This opens the Admin area, where authorised users can manage users, roles, logs, integrations, API keys, billing, configuration, and notifications.

Open the Integrations tab

At the top of the Admin page, select Integrations.

This opens the integrations area, where available third-party connections are listed.

Open Xero

On the Integrations page, find Xero.

Select Xero to open the Xero integration details page.

The Xero page shows:

  • Xero integration name

  • Integration description

  • Connect button

  • Available configuration areas

Review the Xero integration details

Before connecting, review what the integration is used for.

Xero can help automate finance workflows, including:

  • Timesheets
    Sync approved timesheets to Xero payroll.

  • Invoices
    Create draft invoices from NDIS claims.

  • Contacts
    Access organisation and contact details.

  • Reconciliation
    Reconcile payments and billing.

Click Connect

Select Connect on the Xero integration page.

This starts the Xero connection process and redirects you to Xero authorisation.

Click Confirm

  • Click Confirm to continue.

  • By clicking Confirm, you authorise Xero to connect with Diversity Sync’d based on the permissions shown in the connection window.

  • If you do not want to continue, click Cancel.

Log In to Xero

  • After clicking Integrate, you will be redirected to the Xero login screen.

  • Enter your Xero email address and password.

  • Then click Log in

Allow access in Xero

On the Xero authorisation screen, review the access request.

Xero may ask you to allow access to organisation data such as:

  • Timesheets

  • Business transactions

  • Contacts

  • Organisation settings

  • Employees

  • Payroll settings

Select Allow access to continue.

If you do not want to continue, select Cancel.

Confirm Xero is connected

After authorising access, you will return to Diversity Sync’d.

The Xero integration should now show as Connected.

The Integrations page may also show:

  • Connected status

  • Number of linked organisations

  • A short description of what the Xero integration syncs

Review the connected Xero page

Open Admin > Integrations > Xero again to review the connected integration.

The page shows the Xero integration summary, linked organisation count, configuration options, and integration information.

The Information section may include:

  • Category: Accounting

  • Developer: New Horizon Code

  • Website: Xero website

  • Status: Connected

Use this section to confirm that the integration is active.

Manage your Xero connection

When Xero is connected, select the three-dot menu on the Xero page.

Available options may include:

  • Add Organisation

  • View Connected Orgs

  • Revoke Authentication

Select Add Organisation if you need to connect another Xero organisation.

Select View Connected Orgs to review organisations already linked to Diversity Sync’d.

Revoke Xero authentication

To disconnect Xero from Diversity Sync’d:

  1. Go to Admin > Integrations > Xero.

  2. Select the three-dot menu.

  3. Select Revoke Authentication.

  4. Review the confirmation message.

  5. Select Revoke to confirm.

Revoking authentication disconnects all linked organisations. This action cannot be undone.

After the connection is removed, a success message confirms that the connection was successfully removed.

Important: Do not revoke Xero authentication or change payroll setup for a period that has already been processed or finalised in Xero. Follow your organisation’s payroll correction process instead.

Important Notes

  • You need the correct Admin permissions to manage integrations.

  • You may need a valid Xero account with permission to authorise third-party connections.

  • Reconnect Xero if the connection expires, access is revoked, or the connected organisation changes.

  • If the status shows Connected, the integration is active.

  • If the connection is removed, reconnect Xero before syncing timesheets, invoices, contacts, or reconciliation data.

  • Revoking authentication disconnects all linked Xero organisations from Diversity Sync’d.

  • Only revoke authentication if you are sure the connection is no longer needed.

Troubleshooting

If you cannot see the Integrations tab:

  • Check that your account has the correct Admin permissions.

  • Contact your system administrator if you need access.

If the Connect button does not work:

  • Refresh the page and try again.

  • Check your internet connection.

  • Make sure pop-ups or redirects are not blocked by your browser.

  • Try signing out and signing back in.

If Xero does not connect after authorisation:

  • Confirm you selected Allow access in Xero.

  • Check that you are using the correct Xero account.

  • Confirm your Xero account has permission to connect apps.

  • Return to Admin > Integrations > Xero and check the status.

If the connection is removed by mistake:

  • Go back to Admin > Integrations > Xero.

  • Select Connect.

  • Complete the Xero authorisation process again.
