Sync a Claim from Xero

Use Sync from Xero when you need to refresh a Xero-linked claim with the latest invoice or payment information from Xero.

This can be useful when the status shown in Diversity Sync’d does not match Xero, after changes have been made directly in Xero, or before deciding whether a claim needs to be re-issued.

1. Open the claim

  1. Go to Billing.

  2. Open the claims list.

  3. Find the Xero-linked claim you want to review.

  4. Click the claim to open its details.

  5. Review the current claim status, amount due, payment information and Xero activity.


2. Review the current Xero information

Before synchronising, review the information currently shown on the claim.

Check:

  • Claim status

  • Xero invoice status

  • Payments received

  • Remaining Amount due

  • Payment history

  • Activity

If the information already matches Xero, another manual synchronisation may not be required.


3. Find Sync from Xero

Open the available claim actions.

  1. Open the claim.

  2. Locate the claim action menu or Xero-related actions.

  3. Select Sync from Xero when available.

  4. Allow the synchronisation to complete before making another Xero change.


4. Sync after a change is made in Xero

Use Sync from Xero when the Xero invoice or payment has been changed directly in Xero and Diversity Sync’d has not yet reflected the change.

For example:

  1. Open the affected claim.

  2. Review the current Diversity Sync’d status.

  3. Confirm the latest invoice or payment state in Xero.

  4. Run Sync from Xero.

  5. Review the claim again after the synchronisation completes.

Relevant Xero invoice and payment information can then be refreshed in Diversity Sync’d.


5. Review the claim after synchronising

After the synchronisation completes, review the claim again.

Check whether the following information has changed:

  • Claim status

  • Xero invoice status

  • Payment status

  • Payments received

  • Remaining Amount due

  • Payment history

  • Activity

The Activity section can help confirm that information was synchronised from Xero.


6. Sync before re-issuing a claim

If a Xero invoice appears to have been voided or deleted, synchronise the claim before deciding what action to take.

  1. Open the claim.

  2. Run Sync from Xero.

  3. Review the updated Xero invoice information.

  4. Confirm whether the previous invoice is still available.

  5. If the invoice has been voided or deleted, use the available re-issue workflow.

Claims can be re-issued when the previous Xero invoice has been voided or deleted. The replacement invoice uses a versioned invoice reference.


7. Sync after a payment is recorded in Xero

If a payment was recorded directly in Xero, synchronising can refresh the claim's payment information in Diversity Sync’d.

After syncing, review:

  • Payments received

  • Remaining Amount due

  • Claim payment status

  • Payment history

  • Activity

Where automatic syncing is enabled, payments and relevant Xero status changes may already be synchronised automatically.


8. When Diversity Sync’d and Xero do not match

If the claim information still differs after synchronising:

  1. Confirm that the claim is associated with the correct Xero organisation.

  2. Review the Xero invoice directly.

  3. Check the current Xero invoice and payment status.

  4. Run Sync from Xero again if appropriate.

  5. Review any warning or error displayed.

  6. Check the Xero connection if the synchronisation cannot complete.

Do not re-issue or resend the claim until you have confirmed the current Xero invoice state.


9. Resolve a synchronisation error

If Sync from Xero cannot complete:

  1. Review the error message shown.

  2. Confirm the correct Xero organisation is still connected.

  3. Check the claim's Xero invoice information.

  4. Review the organisation's Xero configuration.

  5. Resolve the connection or configuration issue.

  6. Return to the claim and try the synchronisation again.

Xero and finance connection errors have clearer and more consistent messaging, and unavailable Xero organisations are handled more clearly.


Important notes

  • Use Sync from Xero when Diversity Sync’d needs to refresh information that has changed in Xero.

  • Review the claim before and after synchronising.

  • Check Activity to confirm Xero-related changes where available.

  • Confirm the correct Xero organisation before taking further action.

  • Synchronise before re-issuing a claim when the state of the existing Xero invoice is uncertain.

  • If a previous invoice has been voided or deleted, use the re-issue workflow rather than treating it as a normal new send.

  • If the claim and Xero continue to disagree after synchronisation, review the Xero connection and invoice before continuing.
