Configure Clock On Checklist

Set up checklist items that staff must review when clocking on or clocking off from shifts.

Open Configuration

From the left-hand menu, go to Admin.

At the top of the Admin area, select Configuration.

Then open the General section from the configuration sidebar.

Find the Clock On Modal

Scroll to the Clock On Modal card.

This section controls the checklist items shown when staff clock on to a shift.

Click the Clock On Checklist dropdown to expand the checklist settings.

Add or Edit a Clock On Checklist Item

Inside the expanded checklist area, enter the checklist item details.

Complete the following fields:

  • Title: Enter a short name for the checklist item.

  • Description: Enter the message staff will read or confirm.

  • Active: Keep this switched on if the item should appear to staff.

Example checklist item:

Title:

Fit for work confirmation

Description:

I confirm that I am fit and ready to work this shift, have reviewed the shift details, and understand my responsibilities before clocking on.

Add Another Checklist Item

To add another checklist item, click the + button.

A new checklist item section will appear.

Enter the Title, Description, and choose whether the item should be Active.

Example checklist item:

Title:

Incident reporting understood

Description:

I confirm that I understand how to report incidents, hazards, concerns, or changes during this shift.

Save the Clock On Checklist

After adding or updating the checklist items, click Save at the bottom of the Clock On Modal card.

A confirmation message will appear once the configuration has been saved successfully.

Find the Clock Off Modal

Scroll to the Clock Off Modal card.

This section controls the checklist items shown when staff clock off from a shift.

Click the Clock Off Checklist dropdown to expand the checklist settings.

Add or Edit Clock Off Checklist Items

Enter the checklist item details for staff clock off.

You can use clock off items to remind staff to confirm important end-of-shift actions, such as:

  • Progress notes have been completed

  • Incidents or concerns have been reported

  • Required documentation has been updated

  • Shift handover has been completed

  • Client or participant updates have been recorded

Keep the Active toggle switched on if the checklist item should be shown to staff.

Save the Clock Off Checklist

Click Save in the Clock Off Modal card.

Wait for the confirmation message before leaving the page.

You should see: Configuration saved

Important Notes

  • Clock On Checklist items appear when staff clock on to shifts.

  • Clock Off Checklist items appear when staff clock off from shifts.

  • Only Active checklist items are shown to staff.

  • Toggle an item off if you want to keep it saved but stop it from appearing.

  • Each checklist item should have a clear Title and easy-to-understand Description.

  • Click Save after making changes. Changes are not applied until saved.

Troubleshooting

If the checklist item does not appear for staff:

  • Check that the item is switched to Active.

  • Confirm the correct checklist was updated, either Clock On Checklist or Clock Off Checklist.

  • Make sure you clicked Save after editing.

  • Refresh the page and check whether the saved confirmation appears.

  • Ask the staff member to refresh their shift page or log out and back in.

If changes are not saving:

  • Check your internet connection.

  • Make sure all required fields have been completed.

  • Try refreshing the page and entering the details again.

  • Confirm you have permission to update Admin Configuration settings.
