Editing Clock-On and Clock-Off Times

Learn how to manually add or update clock-on, clock-off, and break times from a rostered shift using the Clock tab.

Go to Roster

From the left navigation menu, open Roster.

Use the date selector at the top of the page to move to the correct week, fortnight, or month.

You can also use the roster filters to narrow the view by staff, participant, or other roster options.

Select the Shift

Find the shift you want to update in the roster grid.

Click the shift card for the correct day and worker.

If a day panel opens, select the shift from the list shown in that panel.

Open the Shift Details

The shift details window will open.

At the top of the window, you will see tabs such as:

  • Details

  • Repeat

  • Availability

  • Logs

  • Clock

  • Allowance

Click the Clock tab.

Review the Clock Tab

The Clock tab lets you manually add clock events for the selected roster day.

You can add or update:

  • Clock On

  • Clock Off

  • Break Start

  • Break End

The page also shows existing clock events for the selected worker and day.

Each clock event may show labels such as:

  • Clocked On

  • Break Start

  • Break End

  • Clocked Off

  • Manual

  • No matching shift

  • Unrostered clock event

Set the Clock-On Time

Click the Clock On field.

Use the date and time picker to select the correct clock-on date and time.

Update the time field as needed, then click Apply.

The selected time will appear in the Clock On field.

Set the Clock-Off Time

Click the Clock Off field.

Select the correct clock-off date and time.

Click Apply.

Make sure the Clock On time is before the Clock Off time.

If the clock-on time is after the clock-off time, the system will show an error such as Clock in must be before clock out.

Add Break Times if Needed

To record a break, enter both:

  • Break Start

  • Break End

Use the same date and time picker to select the correct times.

Only add break times when they are required for the shift record.

Save the Clock Events

Once the clock times are correct, click Add clock events.

The button may remain disabled if:

  • Required times are missing

  • The clock-on time is after the clock-off time

  • The selected times are not valid for the roster day

  • You do not have permission to update clock events

After saving, review the clock event list to confirm the manual events were added.

Important Notes

  • Manual clock events are added to the worker’s assigned shift timeline.

  • Existing clock events are preserved.

  • Clock events are limited to the selected roster day.

  • Clock-on time must be before clock-off time.

  • Clock-off times should only be entered for times that have already happened.

  • If the shift crosses midnight, check the selected date and time carefully.

  • If you are updating a break, make sure the break times sit within the clock-on and clock-off period.

Troubleshooting

If you cannot see the Clock tab:

  • Check that you opened the correct shift.

  • Confirm you have permission to view and edit clock events.

  • Ask an administrator to review your role permissions.

If the Add clock events button is disabled:

  • Check that the clock-on and clock-off times are valid.

  • Make sure the clock-on time is before the clock-off time.

  • Confirm that the selected date is within the roster day.

  • Remove or correct any invalid break times.

If you see Clock in must be before clock out:

  • Open the Clock On field and check the time.

  • Open the Clock Off field and check the time.

  • Update the times so the clock-on time happens first.

If the clock event shows No matching shift or Unrostered clock event:

  • Confirm the clock event was added to the correct worker.

  • Confirm you selected the correct roster day.

  • Check whether the clock event was created outside the expected shift time.
