Configure Pending Shift Clock Adjustments

Learn how to configure automatic clock-off rules and approval thresholds for early clock-on and late clock-off requests.

Open Roster Configuration

Go to Admin > Configuration.

In the Configuration sidebar, click Roster.

Find Pending Shift Clock Adjustments

Scroll to the Pending Shift Clock Adjustments section.

Configure Automatic Clock-Off

Use Automatically clock off ended shifts to control whether the system creates a clock-off event at the scheduled end time.

When enabled, this may only occur when the latest staff work event is a clock-on with no later clock-off.

Set the Early Clock-On Threshold

Use Early Clock-On Threshold to set how many minutes before a scheduled shift a staff member can clock on without approval.

If the staff member clocks on earlier than this threshold, they may need to provide a reason or submit a pending shift request.

Set the Unrostered Option Threshold

Use Unrostered Option Threshold to control when the unrostered clock-on option is shown.

This setting determines how many minutes before the rostered shift starts the unrostered option appears.

Set the Late Clock-Off Threshold

Use Late Clock-Off Threshold to set how many minutes after a scheduled shift end a staff member can clock off without approval.

If the staff member clocks off later than this threshold, they may need to provide a reason or submit a request.

Add Notification Emails

Use Pending Shift Request Notification Emails to add one or more comma-separated email addresses.

These emails receive notifications when staff submit early clock-on or late clock-off pending shift requests.

Save Changes

Click Save in the Pending Shift Clock Adjustments section.

Important Notes

  • Clock adjustment thresholds are usually entered in minutes.

  • Automatic clock-off can affect staff time records.

  • Notification emails should be monitored by the correct admin or rostering team.

  • These settings help manage exceptions, but they do not replace review of unusual clock events.

  • Keep thresholds realistic for your organisation’s rostering process.

Troubleshooting

If staff can clock on too early:

  • Review the Early Clock-On Threshold.

  • Lower the threshold if needed.

  • Save changes and test again.

If staff cannot see the unrostered option:

  • Review the Unrostered Option Threshold.

  • Confirm the staff member is trying within the configured time window.

  • Save changes and test again.

If late clock-off requests are not appearing:

  • Review the Late Clock-Off Threshold.

  • Confirm the staff member clocked off outside the allowed time.

  • Check notification email settings.

If notification emails are not received:

  • Confirm the email addresses are correct.

  • Separate multiple emails with commas.

  • Check spam or junk folders.

  • Ask an administrator to review notification permissions.
