Open Improvements
From the left navigation menu, go to Operations.
Click Improvements.
The Improvements page will open.
Click New Improvement
Click New Improvement.
The New Improvement window will open.
This window is used to submit a new continuous-improvement application.
Enter the Improvement Name
In Improvement Name, enter a short, recognisable label for the improvement.
This field is required.
Use a clear name so the improvement is easy to identify in the list.
Example:
Replace staff room microwave
Select a Target Date
Click Target Date and choose the date the improvement should be completed by.
This field is required.
The target date appears in the improvements list and helps staff track whether the improvement is on time or elapsed.
Add Assignees
Use Assignees to select the staff members responsible for the improvement.
This helps your team see who is working on the improvement and who should provide updates.
You can assign one or more staff members, depending on the improvement.
Add Details
In Details, explain what the improvement is about.
This field is required.
Include enough information so reviewers and assigned staff understand the issue, request, or improvement area.
Example:
The staff room microwave is no longer heating food consistently and needs to be replaced to support staff during breaks.
Add Strategies
In Strategies, explain how the improvement will be addressed.
This field is required.
Include the planned actions, next steps, or proposed solution.
Example:
Review replacement options, confirm budget approval, purchase a suitable microwave, and install it in the staff room.
Choose Whether to Email Assigned Staff
Use the Email assigned staff toggle if you want to send a notification to the selected assignees when the improvement is created.
Turn this on when assigned staff should be notified immediately.
Leave it off if you do not want to send an email notification.
Submit the Improvement
Review the information entered.
Click Submit.
The improvement will be created and added to the Improvements list.
It can then be opened to review the description, track the application feed, update the status, manage assignees, and add comments.
Important Notes
Improvement Name, Target Date, Details, and Strategies are required.
Use a clear improvement name so the item is easy to find later.
The target date is used to track progress and may show as Elapsed if the date passes.
Assignees can help clarify ownership and responsibility.
Turning on Email assigned staff sends a notification to the selected assignees.
After submission, status and assignees can be managed from the improvement details page.
Troubleshooting
If you cannot see New Improvement:
Check that you are on Operations > Improvements.
Confirm you have permission to create improvements.
Ask an administrator to review your role permissions.
If the Submit button is disabled:
Make sure Improvement Name is completed.
Make sure Target Date is selected.
Make sure Details is completed.
Make sure Strategies is completed.
If assignees are not appearing:
Check that the staff member exists in the system.
Confirm the staff member is active.
Search again in the Assignees field.
Ask an administrator to review staff access if needed.
If assigned staff do not receive an email:
Confirm Email assigned staff was turned on before submitting.
Ask the staff member to check their inbox and spam folder.
Confirm the staff member’s email address is correct in their staff profile.
If the improvement does not appear in the list:
Check the All tab.
Check the Active, Complete, and Archived tabs.
Use the Filter improvements search field.
Refresh the page and try again.
