Before You Start
You need access to the Leave page to submit a leave request.
Required permissions:
Access to the Leave section
Permission to create a leave request
If submitting for someone else, permission to create leave requests on behalf of other staff
Before submitting, make sure you know:
The correct leave type
The away from date
The away until date
The reason or context for the request
The name to use as your signature
Open the Leave Page
From the left navigation menu, click Leave.
This opens the leave request page where you can view and track leave requests across your organisation.
You will also see:
Request status tabs such as All, Awaiting, Approved, and Denied
A staff name filter
A leave type filter
The New Leave Request button
Click New Leave Request
Click New Leave Request.
This opens the New Leave Request form.
You can use this form to submit your own leave request. If you have the right permission, you can also submit a leave request for another staff member.
Select the Leave Type
In the Leave Type field, select the type of leave you want to request.
For example, this could be:
Annual Leave
Unpaid
Other leave types available in your organisation
The available options depend on how your organisation has set up leave types.
Choose the Requesting Staff Member
In Requesting Staff, select the staff member the request is for.
If you are submitting your own request, your own name may be selected automatically.
If you have permission to submit leave requests on behalf of others, you can open the dropdown and choose another staff member.
Enter the Leave Dates
Complete the required date fields:
Away From
Away Until
Select the start date and end date for the leave request.
Make sure the dates are correct before continuing.
Add Notes and Signature
In Notes, enter the reason or context for the request.
Then complete the Signature field by typing your name to sign the request.
All fields in the form are required.
Submit the Request
Click Submit.
Once submitted, the leave request is added to the Leave list.
If the request does not appear straight away, refresh the page and check the relevant tab, such as Awaiting or All.
Track the Leave Request
After submission, you can track the request from the Leave page.
The request will appear in the list with information such as:
Staff
Type
Submitted
Leave dates
Status
Select the request to open its details page.
From the request details page, you can view:
The submitted notes
The signature
Any impacted shifts
The application feed
The request status
Staff and leave details
Update the Request Status if You Have Permission
If your role allows it, open the leave request and use the Status panel to manage the application.
You may need to turn on Authorised before changing the application status.
Available status options may include:
Awaiting Response
Pending
Approved
Denied
Withdrawn
After the status is updated, the new status will appear in the leave list.
This step is only available to users with the appropriate permissions.
Important Notes
All fields in the New Leave Request form are required.
You can only submit a request after completing:
Leave Type
Requesting Staff
Away From
Away Until
Notes
Signature
If you have permission, you can submit leave requests on behalf of another staff member.
After submission, the request appears in the Leave list.
Requests can be tracked through status tabs such as Awaiting, Approved, and Denied.
Only authorised users can update the application status.
Some leave requests may show that no shifts are impacted, depending on the dates selected.
Troubleshooting
If you cannot see the Leave page:
Check that you have access to the Leave section.
Ask an administrator to review your permissions.
If you cannot click New Leave Request:
Refresh the page and try again.
Check whether your role has permission to create leave requests.
If you cannot choose another staff member:
You may not have permission to submit leave requests on behalf of others.
Ask an administrator to review your access.
If the form will not submit:
Make sure all required fields are completed.
Check that both leave dates are selected.
Check that you entered text in Notes and Signature.
If the request does not appear in the list:
Refresh the page.
Check the All tab.
Check whether a filter is hiding the request.
If you cannot change the application status:
Check whether your role has permission to manage leave requests.
Turn on Authorised first if status changes are locked.
Ask an administrator if the status controls are unavailable.
