Review and Manage Pending Shifts

Review early clock-on and late clock-off requests, check proposed shift times and pay-calendar timezones, then approve or deny clock adjustments.

The Pending Shift Clock Adjustments page allows authorised users to review extra time recorded before or after a scheduled shift.

Approving a request adds the proposed extra time to the Roster and notifies the staff member.

Denying a request keeps the original shift unchanged and requires a reason.

Before you begin

You need permission to:

  • Access the Roster

  • View pending clock adjustments

  • Approve or deny adjustment requests

  • View the affected staff member and source shift

Before reviewing a request, confirm that:

  • The staff member has the correct pay calendar.

  • The source shift belongs to the correct staff member.

  • The proposed time and duration are reasonable.

  • You understand which timezone is being used.

Note: Times shown in a pending request use the staff member’s pay-calendar timezone where available.

1. Open Pending Shifts

  1. Select Roster from the main navigation.

  2. Select Options.

  3. Select Pending Shifts.

  4. The Pending Shift Clock Adjustments page opens.

The page explains that you can review early clock-on and late clock-off extra time before it appears on the Roster.

2. Review the request status tabs

Use the tabs at the top of the page to display requests by status.

Available tabs include:

  • All

  • Pending

  • Approved

  • Denied

  • Withdrawn

Use Pending when you only want to review requests that still require action.

Use the other tabs to review requests that have already been processed.

3. Search for a request

Use the search field to find a request.

The search field may match information such as:

  • Staff member

  • Reason

  • Role

  • Site

To search:

  1. Select the search field.

  2. Enter the staff member’s name or another relevant term.

  3. Review the matching requests.

  4. Clear the search field to return to the complete list.

4. Filter clock adjustments

Select Filters to open the available filter controls.

The filter panel may include:

  • Clock Event

  • Rows per page

Filter by Clock Event

Open Clock Event and select:

  • All clock events

  • Early clock-on

  • Late clock-off

Change Rows per page

Open Rows per page and select the number of requests you want to display.

The available row counts depend on the current interface configuration.

5. Review the request list

Each request row may show:

  • Staff

  • Clock Event

  • Duration

  • Proposed Shift

  • Status

  • Expand control

Staff

Shows the staff member who submitted the request.

Clock Event

Shows whether the request relates to:

  • Early clock-on

  • Late clock-off

Duration

Shows the amount of extra time included in the request.

The duration is displayed in minutes.

Proposed Shift

Shows the proposed start and finish time if the adjustment is approved.

The staff member’s pay-calendar timezone appears beside the proposed shift.

Status

Shows the current request status, such as:

  • Pending

  • Approved

  • Denied

  • Withdrawn

Note: Review the timezone displayed beside Proposed Shift before comparing the request with the source shift or clock event.

6. Open a request

  1. Find the request you want to review.

  2. Select the arrow at the right of the row.

  3. The request expands.

  4. Review the displayed information before choosing an action.

The expanded request may include:

  • Pay calendar timezone

  • Warning messages

  • Request details

  • Summary

  • Deny

  • Approve

7. Review the pay-calendar timezone

The expanded request displays a Pay calendar timezone information banner.

The banner identifies:

  • The timezone used for the request

  • The staff member whose pay calendar controls the time display

For example:

Times below are shown in Australia/Darwin, Daniel Brooks’s pay-calendar timezone.

Use this timezone when comparing:

  • Proposed shift

  • Source shift

  • Clock event

  • Requested duration

Note: The pay-calendar timezone may differ from your local timezone. Review the displayed timezone rather than interpreting the request using your browser’s local time.

8. Review request warnings

A warning may appear when the clock event or proposed adjustment does not follow the expected sequence.

For example:

Clocked off before scheduled shift start

This warning explains that the staff member clocked off before the source shift started.

Review whether the early clock-on request should still be approved.

Other warnings may appear depending on the clocking information and source shift.

Important: Do not approve a request until you have reviewed every warning and confirmed that the proposed time should be added to the shift.

9. Review Request details

The Request details section explains the requested adjustment and the source shift it would attach to.

It may include:

  • Reason

  • Source Shift

  • Inherited Details

Reason

Shows the reason entered for the request.

Source Shift

Shows the original scheduled shift time and its timezone.

Inherited Details

Shows information copied from the source shift.

This may include the shift type, such as:

Type: Day Shift

Confirm that the request belongs to the correct source shift before approving or denying it.

10. Review the Summary

The Summary section provides a quick overview of the request.

It may show:

  • Staff

  • Clock event

  • Duration

  • Proposed

  • Status

Use the Summary to confirm the final values before selecting Approve or Deny.

11. Approve a request

Approving adds the extra time to the Roster and notifies the staff member.

Before approving, confirm:

  • The correct staff member is shown.

  • The clock event is correct.

  • The requested duration is reasonable.

  • The proposed shift is correct.

  • The timezone is correct.

  • The source shift is correct.

  • Any warning has been reviewed.

To approve:

  1. Select Approve.

  2. Wait for the request to finish processing.

  3. Confirm that the request status changes to Approved.

  4. Review the Roster if you need to confirm the updated shift.

Important: Approving changes the rostered shift. Confirm the proposed time and timezone before continuing.

The loading state should appear only on the action currently being processed.

Do not select Approve repeatedly while the request is processing.

12. Deny a request

Denying keeps the original shift unchanged.

To deny:

  1. Select Deny.

  2. Enter the reason for denying the request.

  3. Review the reason.

  4. Confirm the denial.

  5. Wait for the request to finish processing.

  6. Confirm that the status changes to Denied.

The denial reason should clearly explain why the extra time was not approved.

Important: Denying a request does not change the source shift. Enter a clear reason so the staff member understands the decision.

The loading state should appear only on the action currently being processed.

13. Review processed requests

Use the status tabs to review completed requests.

Approved

Shows requests that were accepted and applied to the Roster.

Denied

Shows requests that were rejected.

Withdrawn

Shows requests that were withdrawn before approval.

Select a processed request to review its details and final status.

Available actions may be limited after a request has been approved, denied, or withdrawn.

14. Review the clock timeline

The clock timeline may appear when reviewing clocking information associated with the request or source shift.

Version 8.0.0 aligns the timeline with the currently selected view period.

When reviewing the timeline:

  1. Confirm the selected period.

  2. Review the scheduled shift.

  3. Review the clock-on and clock-off events.

  4. Compare the events with the proposed shift.

  5. Check the displayed timezone.

The timeline should reflect the currently selected period rather than unrelated clock activity.

15. Review a missing pay-calendar warning

A clearer warning may appear when the staff member does not have a pay calendar.

Without a pay calendar, the system may not be able to determine the correct timezone or view period for the clock timeline.

Important: Assign the correct pay calendar before relying on the displayed clock timeline or approving the request.

If the warning appears:

  1. Open the staff member’s profile or Finance configuration.

  2. Confirm the correct pay calendar.

  3. Assign the staff member to the appropriate pay calendar.

  4. Return to Pending Shift Clock Adjustments.

  5. Reopen the request.

  6. Review the timezone and timeline again.

16. Move between result pages

Use the pagination controls below the request list.

The page may show:

  • Number of displayed results

  • Current page number

  • Previous

  • Next

Use Rows per page to change how many requests appear on each page.

Important notes

  • Pending shift adjustments relate to early clock-on or late clock-off extra time.

  • The request list displays the staff member’s pay-calendar timezone beside the proposed shift.

  • Expanded requests include a pay-calendar timezone information banner.

  • Approving adds the proposed extra time to the Roster.

  • Approving also notifies the staff member.

  • Denying requires a reason and keeps the original shift unchanged.

  • Review warnings before approving a request.

  • The clock timeline follows the currently selected view period.

  • A warning may appear when no pay calendar is available.

  • Only the selected action button should display a loading state.

  • Do not select action buttons repeatedly while a request is processing.

  • Available information and actions depend on your permissions.

Troubleshooting

I cannot open Pending Shifts

  • Confirm that you have access to Roster.

  • Open Options and check for Pending Shifts.

  • Confirm that your role can review clock adjustments.

  • Refresh the page.

  • Contact an administrator if the option remains unavailable.

No requests are displayed

  • Select All or Pending.

  • Clear the search field.

  • Open Filters.

  • Select All clock events.

  • Increase Rows per page.

  • Confirm that clock-adjustment requests exist.

The displayed time looks incorrect

  • Review the timezone beside Proposed Shift.

  • Expand the request.

  • Review the Pay calendar timezone banner.

  • Compare the proposed shift with the source shift using the displayed timezone.

  • Check the staff member’s pay calendar.

  • Do not use your browser’s local timezone unless it matches the displayed pay-calendar timezone.

A no pay calendar warning appears

  • Confirm that the staff member has a pay calendar.

  • Assign the correct pay calendar.

  • Refresh the page.

  • Reopen the request.

  • Review the timeline and timezone again.

The proposed duration looks incorrect

  • Review the Clock Event.

  • Review the requested Duration.

  • Compare the proposed shift with the source shift.

  • Review any clock timeline that is available.

  • Check for a warning.

  • Deny the request if the extra time should not be applied.

Approve or Deny remains unavailable

  • Confirm that the request status is Pending.

  • Confirm that you have permission to process the request.

  • Wait for any current action to finish.

  • Refresh the page and reopen the request.

  • Contact an administrator if the controls remain unavailable.

Both action buttons appear to be loading

Version 8.0.0 corrected this behaviour so only the selected action should display a loading state.

  • Wait for the current request to finish.

  • Refresh the page.

  • Reopen the request.

  • Confirm whether the status was updated before selecting another action.

The approved adjustment is not visible on the Roster

  • Confirm that the request status is Approved.

  • Open the correct Roster period.

  • Check the staff member.

  • Review the source shift.

  • Confirm the displayed timezone.

  • Refresh the Roster.
