1. Open the claims for billing
Go to Billing.
Open the area containing the claims you want to send to Xero.
Review the claims before starting the bulk-send process.
2. Select claims to send
Select the claims you want to send to Xero.
Use the available bulk action to begin the Xero sending process.
Review the selected claims before continuing.
Only claims that are ready for Xero should continue through the sending workflow.
3. Review claims that will be sent or skipped
Before sending, review how the selected claims have been classified.
The Send claims to Xero window shows:
How many selected claims will be sent as Xero draft invoices
How many claims will be skipped
Any warnings that affect the claims being sent
If claims are skipped, expand claims will be skipped to review the reason before continuing.
You can continue with the claims that are ready while resolving skipped claims separately.
4. Select the Xero organisation
If more than one Xero organisation is connected, select the organisation that should receive the claims.
Open the Xero Organisation selection.
Choose the correct connected organisation.
Confirm that the selected organisation is the one associated with the claims you are sending.
The selected organisation is also used when applying its configured Xero account information during the sending process.
5. Review the account code
Confirm the Xero account code that will be used for the claims.
Review the available Account Code.
Select the appropriate account when a selection is required.
Make sure the account belongs to the Xero organisation currently selected.
Xero account information should correspond to the selected organisation rather than another connected organisation.
6. Check Xero customer matching
Each claim must be associated with the appropriate Xero customer or contact before it can be sent successfully.
Review the customer matching information shown for the selected claims.
If a customer cannot be matched, resolve the customer details before attempting to send that claim.
7. Review or set Xero customer matching
If a customer shows No match, select the correct Xero customer manually.
Before sending:
Find the customer showing No match.
Click Select Xero customer.
Choose the correct Xero contact.
Confirm that the selected Xero customer matches the intended Diversity Sync’d customer.
The selected customer mapping is remembered for future claims once the claim has been sent.
8. Send the eligible claims
After reviewing the organisation, account information and customer matching:
Confirm the claims that are ready to send.
Start the bulk-send process.
Keep the bulk-send window open while the claims are processed.
The workflow should show the progress of the selected claims as they are sent to Xero.
9. Review the results
When processing is complete, review the result for each claim.
Claims may show that they were successfully sent or that sending failed.
For failed claims, review the reason shown before attempting another send.
Common areas to check include:
Xero organisation
Account configuration
Xero customer matching
Customer aliases
Xero connection status
Xero connection and organisation-related warnings provide clearer information when a connected organisation is unavailable or requires attention.
10. Retry the remaining claims
If some claims were not sent successfully, you do not need to resend claims that have already completed.
Review the remaining or failed claims.
Correct the issue shown for each claim.
Use the available retry option to process the remaining claims.
Review the results again after the retry completes.
Repeat this process until the required claims have been successfully sent or any remaining issues have been resolved.
Important notes
Always confirm the correct Xero Organisation before sending claims when multiple organisations are connected.
Check that account information belongs to the selected Xero organisation.
Review skipped claims before assuming all selected claims were sent.
Check customer matching and aliases when a claim cannot identify the correct Xero customer.
If only some claims fail, resolve those claims and retry the remaining items rather than repeating the entire completed batch.
If a Xero organisation is disconnected or unavailable, review the connection before attempting to send the affected claims again.
