Billing and Subscription Management

Learn how to view your subscription, billing period, AI credit usage, payment method, and invoices from the Admin Billing page.

Before You Start

You need access to the Admin area to view the Billing page.

Required permissions may include:

  • Access to Admin

  • Permission to view Billing

  • Permission to manage subscription or payment details

  • Access to Stripe billing actions, if enabled for your role

If you cannot see the Billing tab, ask an administrator to check your role permissions.

Go to Admin

From the left navigation menu, click Admin.

At the top of the Admin page, you will see several tabs, including:

  • Users

  • Roles

  • Logs

  • Integrations

  • Billing

  • Configuration

  • Notifications

Click Billing.

Review Subscription Details

The Subscription Details section shows your current plan and pricing information.

You can review:

  • Plan
    ​
    Shows your current subscription plan.

  • Rate
    ​
    Shows the cost per user per month.

  • Active Users
    ​
    Shows how many active users are currently counted for billing.

  • Billing Cycle
    ​
    Shows whether your billing is monthly or based on another billing cycle.

To update your subscription, click Manage Subscription.

This may allow you to change your plan, pause your subscription, or cancel through Stripe.

Check the Current Billing Period

The Current Billing Period section shows charges for the current billing month.

This section may include:

  • Billing month

  • Description of charges

  • Active user count

  • Amount

  • Estimated Total

The Estimated Total shows the current estimated amount for the billing period.

Important note:

  • The final invoice may vary based on usage at the end of the billing period.

  • Active users may affect the final billing amount.

Review AI Credits

The AI Credits section shows how much has been spent on AI features for the current month.

You can review:

  • Current AI usage amount

  • Monthly AI credit cap

  • Usage percentage

  • Reset date

The AI credits are capped monthly and reset on the 1st.

Use this section to monitor AI-related usage, such as Roster Assistant or other AI features.

Manage Payment Method

The Payment Method section shows the card used for subscription and usage charges.

You can review:

  • Card type

  • Last four digits

  • Default card status

  • Card expiry date

To add another payment method, click Add Card.

Important notes:

  • The default card is used for subscription and usage charges.

  • A maximum of 3 credit cards can be added.

  • Use the options menu beside a card to manage available card actions.

View Invoices

The Invoices section shows past Stripe charges.

Each invoice may show:

  • Invoice period

  • Invoice status

  • Description

  • Total paid

  • Invoice date

  • Options menu

You can open the hosted invoice or download the invoice PDF for your records.

Use this section when you need to check previous billing charges or keep a copy of payment records.

Important Notes

  • Billing and subscription changes may be handled through Stripe.

  • Final invoice amounts may change depending on user activity and usage.

  • AI credit usage may reset monthly.

  • Payment method changes may only be available to users with the correct permissions.

  • If a card payment fails, check that the card is valid and not expired.

Troubleshooting

If you cannot see the Billing tab:

  • Check that you are in the Admin area.

  • Confirm that your role has access to Billing.

  • Ask an administrator to review your permissions.

If the Manage Subscription button does not work:

  • Refresh the page and try again.

  • Check your internet connection.

  • Confirm that your account has permission to manage subscription details.

  • Contact support if the issue continues.

If your invoice total looks incorrect:

  • Review the Active Users count.

  • Check the current billing period.

  • Check AI credit usage.

  • Wait until the billing period ends, as the final invoice may vary based on usage.
