Billing and Subscription Management

Use Billing and Subscription Management to review your organisation’s current subscription, billing cycle, payment details and available plan actions.

This area relates to your Diversity Sync’d organisation subscription. It is separate from participant claims, NDIS billing and Xero invoicing.

1. Open subscription billing

  1. Go to Admin.

  2. Open the available organisation or subscription settings.

  3. Select Billing, Subscription, or the equivalent subscription-management area shown in the current interface.

  4. Review your organisation’s current plan and billing information.


2. Review the current plan

Review the subscription plan currently assigned to the organisation.

Check the information shown for:

  • Current plan

  • Billing frequency

  • Subscription status

  • Included features or limits, where displayed

  • Next renewal or billing information, where available

Use the information shown in the interface as the source of truth for the organisation’s current subscription.


3. Review the billing cycle

Check whether the organisation is billed on a monthly, annual or other available billing cycle.

  1. Review the current billing frequency.

  2. Check the next renewal or payment date, where shown.

  3. Confirm that the billing cycle matches the organisation’s expected subscription arrangement.

If the interface provides an option to change the billing cycle, review any pricing or confirmation information before proceeding.


4. Review the payment method

Where payment method information is available, review the method used for subscription payments.

Depending on the current interface, you may be able to:

  1. Review the current payment method.

  2. Update the payment method.

  3. Open the external billing or customer portal.

  4. Review payment-related warnings if the method requires attention.

Do not confuse the subscription payment method with Xero Payment Account or claim Paid Into settings. Those are used for claim payments rather than the organisation subscription.


5. Manage the subscription

If subscription-management actions are available, use them to review or change the organisation’s plan.

Available actions may include:

  • Upgrade

  • Change plan

  • Change billing frequency

  • Manage subscription

  • Open the billing portal

Before confirming a plan change:

  1. Review the selected plan.

  2. Check the billing frequency.

  3. Review any pricing or effective-date information shown.

  4. Confirm the change only when the details are correct.


6. Review plan permissions and limits

Some Diversity Sync’d features may depend on the organisation’s current subscription plan.

When a feature is unavailable:

  1. Review the current subscription.

  2. Check any plan-related message shown in the interface.

  3. Confirm whether the feature is included in the organisation’s plan.

  4. Use the available subscription-management action if a plan change is required.

Do not change the subscription solely because a feature is unavailable until the plan requirement shown in the interface has been reviewed.


7. Review billing or subscription warnings

If the subscription requires attention, review the warning before making changes.

A warning may relate to:

  • Subscription status

  • Payment information

  • Renewal

  • Plan limits

  • Billing portal access

Follow the guidance shown in the current interface.

If no warning is displayed, no troubleshooting screenshot is required.


8. Confirm changes

After changing subscription or billing information:

  1. Return to the subscription page.

  2. Review the current plan.

  3. Confirm the billing frequency.

  4. Check the subscription status.

  5. Confirm that any updated payment or renewal information is displayed correctly.

Refresh the page if required to confirm that the changes have been saved.


Important notes

  • Subscription billing is separate from NDIS claim billing and Xero invoicing.

  • Review the current plan and billing cycle before making subscription changes.

  • Check any pricing, renewal or effective-date information shown before confirming a change.

  • Plan permissions may affect which features are available to the organisation.

  • Only update subscription or payment information when you are authorised to manage the organisation’s billing.

  • The current changelog does not identify a specific subscription-management change, so this article should primarily reflect the current interface, navigation and available subscription controls.
