Review and Sync Timesheets

Review staff hours, paid leave, overtime and allowances for a pay cycle, export timesheet reports, sync selected or all staff to Xero, and resolve sync errors.

The Timesheets page allows authorised users to review calculated staff hours for a selected pay cycle before synchronising them with Xero.

Use this page to:

  • Select a pay calendar and pay period

  • Search for staff

  • Review shifts, overtime, paid leave and total hours

  • View daily timesheet breakdowns

  • Export summary or detailed PDF reports

  • Sync selected staff or all eligible staff to Xero

  • Review and retry failed synchronisations


Before you begin

Make sure:

  • You have permission to access Finance and manage Timesheets.

  • Your organisation is connected to the correct Xero account.

  • The required pay calendars have been configured.

  • Staff members have been linked to Xero employees through Staff Mapping.

  • Staff earnings rates and payroll details have been configured in Xero.

  • The relevant shifts, leave and payroll information are ready for review.


1. Open Timesheets

  1. From the left navigation menu, select Finance.

  2. Select the Timesheets tab.

  3. Confirm that the correct Xero account is displayed near the top of the page.

The Timesheets page may include:

  • Connected Xero account

  • Finance navigation tabs

  • Pay calendar timezone banner

  • Export PDF

  • Filters

  • Xero staff information banner

  • Sync Selected

  • Sync All

  • Staff Timesheet table

  • Pagination controls


2. Review the pay calendar timezone

A Pay calendar timezone banner appears when the selected pay calendar uses a timezone that differs from your local timezone.

The banner identifies:

  • The pay calendar timezone

  • Your local timezone

  • Which timezone is used for Timesheet pay periods, date labels and shifts

Timesheet dates and shifts are displayed using the selected pay calendar’s timezone.

Important: Review the pay calendar timezone before checking or synchronising Timesheets. A timezone difference may change the date under which a shift or leave entry appears.


3. Filter the Timesheet list

Select Filters to display the available Timesheet filters.

The filter panel may include:

  • Search Staff

  • Pay Calendar

  • Pay period

  • Clear all

Search for a staff member

  1. Select the Search Staff field.

  2. Enter the staff member’s name.

  3. Review the matching results.

Select a pay calendar

  1. Open the Pay Calendar field.

  2. Select the required pay calendar.

Available pay calendars depend on your organisation’s payroll configuration.

Examples may include:

  • Casual Staff Payroll

  • Community Access Staff

  • Finance Team Payroll

  • Monthly Admin Staff

  • Night Shift Team

  • Part-Time Staff Cycle

Select a pay period

The Pay period field follows the period configured for the selected pay calendar.

Use the previous or next arrow to move between available pay periods.

The selected period is locked to the pay calendar period to keep Finance and Xero synchronisation aligned.

Clear the filters

Select Clear all to remove the current search and return to the default filter settings.


4. Review which staff members are displayed

When the organisation is connected to Xero, an information banner may display:

Only Xero synced staff are shown

The selected pay calendar only lists staff who are linked to an employee in the connected Xero account.

The banner includes links to:

  • The connected Xero account

  • Staff Mapping

Select the close icon if you want to dismiss the banner.

Note: If a staff member is missing from the Timesheet list, confirm that they are linked to the correct Xero employee in Staff Mapping.


5. Review the Timesheet summary

Each staff row provides a summary of the calculated Timesheet for the selected pay period.

The table may include:

  • Selection checkbox

  • Name

  • Role

  • Status

  • Shifts

  • Overtime

  • Paid Leave

  • Worked > AL

  • Hours

  • Total Hours

  • Expand control

Name

Shows the staff member included in the selected pay calendar.

A synchronisation status label, such as Sync Failed, may appear beside the staff member’s name.

Role

Shows the staff member’s employment type or role abbreviation, such as FT.

Status

Shows the staff member’s current status, such as Active.

Shifts

Shows the number of shifts included in the selected pay period.

Overtime

Shows the calculated overtime percentage or indicator for the pay period.

Paid Leave

Shows the number of paid leave hours included in the Timesheet.

Worked > AL

Shows weekend Annual Leave hours that use the applicable worked rate, where relevant. Its important these shifts have no leave type assigned to their shifts otherwise this will not include the shifts hours within timesheets and must be manually added to the timesheet or pay run within Xero.

Hours

Shows the calculated working hours for the selected pay period.

Total Hours

Shows the final total hours included in the Timesheet.

Use the column headings to sort the list where sorting is available.

Note: Contracted full-time and part-time employees using Annual Leave on Saturday or Sunday default to the applicable weekend worked rate. The previous Annual Leave Penalty option is no longer used.


6. Review a staff member’s daily breakdown

Select the expand control at the right of the staff row to view the detailed Timesheet.

The expanded Timesheet may show:

  • Each date in the pay cycle

  • Day number

  • Pay item or earnings rate

  • Worked hours

  • Allowances

  • Break duration

  • Daily total

  • Cumulative hours

  • Pay Cycle Total

For example, a daily entry may show:

  • Ordinary

  • Break

  • Total

The Pay Cycle Total section shows the total hours for each earnings rate and the final Timesheet hours.

Review each day and confirm that:

  • The expected shifts are included

  • Allowances are correct

  • Breaks are correct

  • Paid Leave is correct

  • Weekend Annual Leave is using the expected rate

  • Overtime is correct

  • Daily and pay cycle totals reconcile

Select the expand control again to close the detailed view.


7. Review Timesheet warnings

Warnings may appear when information requires review before synchronisation.

Leave overlap warning

A banner may appear when a staff member assigned to the selected pay calendar has a leave request overlapping the visible pay cycle.

Review:

  • The staff member

  • Leave dates

  • Affected shifts

  • Paid Leave hours

  • Total hours

Open the relevant leave request if corrections are required.

Sleepover compliance warning

A compliance warning may appear when a sleepover shift ends before the required eight-hour sleepover window has been completed.

This warning may also appear in:

  • Roster

  • Timesheets

  • Shift editor

Review the affected shift before synchronising the Timesheet.

Reconciliation warning

A reconciliation warning may appear when leave, hours or calculated payroll values require review.

Unpaid leave types may also produce reconciliation warnings where applicable.

Important: Review Timesheet warnings and correct any affected shifts, leave requests or payroll settings before synchronising the staff member to Xero.


8. Export a Timesheet PDF

Select Export PDF to download a report for the current Timesheet view.

Available export options include:

Summary PDF

Creates a report with one row per staff member.

Use this option when you need a high-level summary of staff hours.

Detailed PDF

Creates a daily breakdown for each staff member.

Use this option when you need to review individual dates, pay items, breaks and daily totals.

To export a report:

  1. Apply the required staff, pay calendar and pay period filters.

  2. Select the arrow beside Export PDF.

  3. Select Summary PDF or Detailed PDF.

  4. Wait for the report to be generated.

  5. Open or save the downloaded PDF.


9. Select staff to synchronise

You can synchronise one or more selected staff members or all eligible staff in the selected pay calendar.

Sync selected staff

  1. Select the checkbox beside each staff member you want to synchronise.

  2. Confirm that the correct staff members are selected.

  3. Select Sync Selected.

The Sync Selected button remains unavailable until at least one staff member is selected.

Sync all staff

Select Sync All to synchronise all eligible staff listed for the selected pay calendar and pay period. Selecting Sync All will only sync the staff on the current page you're viewing. If you're syncing more than 10 staff, you will need to navigate to each page and sync all staff. If a filter has been set, Sync All will only sync the staff that match the filter and only the page you're currently viewing.

Review the filters and pay period before using Sync All.


10. Confirm the Timesheet synchronisation

After selecting Sync Selected or Sync All, the Confirm Timesheet Sync window opens.

The confirmation identifies how many employees and shifts will be synchronised.

To continue:

  1. Review the number of selected employees.

  2. Confirm that the correct pay period is open.

  3. Select Sync.

Select Cancel to close the confirmation without synchronising.

The Sync button displays a loading state while the request is being processed.

Important: Confirm the selected staff, pay calendar, pay period and Timesheet totals before selecting Sync. Synchronisation creates or updates the related staff Timesheets in Xero.


11. Review a successful synchronisation

When synchronisation succeeds, a confirmation message appears.

The message may state:

Timesheets synced

It also identifies how many staff Timesheets were successfully synchronised.

After a successful sync:

  1. Open the connected Xero organisation.

  2. Go to Payroll.

  3. Open Timesheets.

  4. Find the staff member and matching pay period.

  5. Open the Timesheet.

  6. Confirm the earnings rate and daily hours.

  7. Review the weekly total.

The Xero Timesheet may show:

  • Employee name

  • Status

  • Week ending

  • Weekly total

  • Earnings rate

  • Hours for each day

A newly synchronised Timesheet may appear with a Draft status in Xero.

Review the Timesheet in Xero before selecting Approve.

Note: A Timesheet successfully synchronised from Diversity Sync’d may still require review and approval inside Xero.


12. Resolve a failed synchronisation

If a Timesheet cannot be synchronised, a red failure panel appears.

The page may show:

  • Number of staff who failed to sync

  • Show details or Hide details

  • Staff member’s name

  • Failure reason

  • Retry

  • Sync Failed label beside the staff member

  • Failure notification

For example, synchronisation may fail when:

  • The employee has no ordinary earnings rate assigned.

  • The staff member is not correctly mapped to Xero.

  • Required payroll information is missing.

  • The connected Xero account is unavailable.

  • The selected earnings rate is invalid.

To resolve a failure:

  1. Expand the failure details.

  2. Read the error message.

  3. Note the affected staff member.

  4. Correct the employee or payroll configuration in Diversity Sync’d or Xero.

  5. Return to the Timesheets page.

  6. Select Retry.

  7. Confirm that the Timesheet synchronises successfully.

For an error stating that the employee has no ordinary earnings rate assigned:

  1. Open the employee in Xero Payroll.

  2. Add or correct the employee’s ordinary earnings rate.

  3. Save the employee’s payroll settings.

  4. Return to Diversity Sync’d.

  5. Select Retry.

Important: Correct the cause shown in the failure message before selecting Retry. Retrying without correcting the employee or payroll configuration may produce the same error.


13. Move between Timesheet pages

Use the pagination controls below the Timesheet table to review additional staff members.

The page shows:

  • Number of results currently displayed

  • Current page number

  • Previous

  • Next

Applying or clearing filters returns the Timesheet list to an appropriate page for the filtered results.

Review all result pages before using Sync All where required.


Important notes

  • Timesheets follow the selected pay calendar and its configured pay period.

  • Dates and shifts are displayed in the pay calendar timezone.

  • Only staff linked to Xero employees are shown while a Xero account is connected.

  • The selected pay period remains aligned with the pay calendar.

  • Filters determine which staff members are shown for review.

  • The expanded view provides a daily breakdown of hours and breaks.

  • Contracted full-time and part-time weekend Annual Leave uses the applicable worked rate.

  • Casual employee leave is sent to Xero with a zero paid-leave amount.

  • Sleepover shifts may display a warning when the required eight-hour window is not completed.

  • Timesheet calculations use the same shared hours calculation logic as other supported roster and reporting views.

  • A successful Diversity Sync’d synchronisation does not necessarily approve the Timesheet in Xero.

  • Failed synchronisations display the reason where available.

  • Review every warning and error before approving payroll in Xero.


Troubleshooting

A staff member is missing from the Timesheet list

  • Clear the Search Staff field.

  • Check the selected Pay Calendar.

  • Check the selected pay period.

  • Confirm that the staff member belongs to the selected pay calendar.

  • Confirm that the staff member is linked to an employee in Staff Mapping.

  • Confirm that the correct Xero account is connected.

  • Check whether the staff member is active.

  • Refresh the page.

The dates do not match my local timezone

  • Review the Pay calendar timezone banner.

  • Confirm the timezone configured for the selected pay calendar.

  • Use the pay calendar timezone when reviewing dates and shifts.

  • Check whether an overnight shift appears on a different date because of the timezone difference.

Sync Selected is unavailable

  • Select the checkbox beside at least one staff member.

  • Confirm that the staff member is eligible for Xero synchronisation.

  • Check whether a synchronisation is already processing.

  • Refresh the page and select the staff member again.

The Timesheet hours look incorrect

  • Expand the staff member’s Timesheet.

  • Review each date and shift.

  • Check breaks and daily totals.

  • Review Overtime.

  • Review Paid Leave.

  • Review Worked > AL.

  • Check for a leave-overlap warning.

  • Check for an unpaid-leave reconciliation warning.

  • Confirm that the correct pay calendar and period are selected.

  • Correct the underlying shift or leave record before synchronising again.

A Timesheet failed to sync

  • Open the failure details.

  • Read the exact error message.

  • Confirm that the staff member is mapped to Xero.

  • Confirm that an ordinary earnings rate is assigned in Xero.

  • Check the connected Xero account.

  • Correct the payroll configuration.

  • Select Retry after resolving the issue.

The Timesheet does not appear in Xero

  • Confirm that Diversity Sync’d displayed a successful sync message.

  • Check the correct Xero organisation.

  • Open Payroll, then Timesheets.

  • Check the employee name and pay period.

  • Refresh the Xero Timesheets page.

  • Review Diversity Sync’d for a failure panel or Sync Failed label.

  • Retry the synchronisation if an error occurred.

The exported PDF does not show the expected staff

  • Review the active filters.

  • Check the selected pay calendar.

  • Check the selected pay period.

  • Clear the staff search if required.

  • Confirm that the staff member is linked through Staff Mapping.

  • Select the appropriate Summary PDF or Detailed PDF option.
