How to Create Repeat Shifts

Learn how to create repeat shifts from an existing roster shift using daily, weekly, fortnightly, monthly, or custom repeat options.

Before You Start

Repeat shifts are created from an existing shift in the roster. Make sure the original shift has the correct details before creating occurrences.

Required permissions:

  • Access to Roster

  • Permission to view shifts

  • Permission to create or edit shifts

  • Permission to create repeat or recurring shifts

If you cannot see the Repeat tab or the Create occurrences button, ask an administrator to check your role permissions.

Open the Roster

Go to Roster from the main navigation.

Use the date selector at the top of the roster to open the correct week, fortnight, or month.

You can also use:

  • Staff View to view shifts by staff member

  • Filter Staff to find a specific staff member

  • Week, Fortnight, or Month to change the roster view

Select the Shift You Want to Repeat

Click the shift you want to use as the base for the repeat shifts.

A shift panel will open showing the selected date and staff member.

Review the shift summary, including:

  • Shift time

  • Shift type

  • Staff member

  • Location

  • Total hours

Open the Shift Details

From the shift panel, open the full shift details.

The shift editor includes these tabs:

  • Details

  • Repeat

  • Availability

  • Logs

  • Clock

  • Allowance

Use the Details tab to confirm the original shift information is correct before creating repeat shifts.

Check the following fields:

  • Shift Location

  • Shift Type

  • Start Time

  • Finish Time

  • Break

  • Staff

  • Role

  • Participants

  • Admin Notes

If you change any shift details, save the changes before setting up the repeat pattern.

Open the Repeat Tab

Click the Repeat tab.

This is where you choose how often the shift should repeat and when the repeat series should end.

Choose a Repeat Option

Click the Repeat dropdown.

Available options include:

  • Every Day

  • Every Week

  • Every 2 Weeks

  • Every Month

  • Custom

Choose the option that matches the roster pattern you need.

Set the Repeat Days

If you choose Every Week or Every 2 Weeks, select the days the shift should repeat on.

For example, you can select:

  • Mo

  • Tu

  • We

  • Th

  • Fr

  • Sa

  • Su

Selected days appear highlighted.

Use this when the same shift should repeat on specific days each week or fortnight.

Set Monthly Repeat Rules

If you choose Every Month, select how the shift should repeat.

Available monthly options include:

  • Day of month

  • Day of week

Use Day of month if the shift should repeat on the same calendar date each month.

Use Day of week if the shift should repeat based on the weekday pattern, such as the same weekday in the month.

Use Custom Repeat If Needed

Choose Custom if the standard repeat options do not match the roster pattern.

Custom repeat allows you to set:

  • Frequency

  • Every

  • On Days

  • End Date

Available custom frequencies include:

  • Daily

  • Weekly

  • Monthly

  • Yearly

For example, you can create a custom weekly repeat every 1 week on Monday, Tuesday, and Wednesday.

Choose When the Repeat Series Ends

Under Ends, select how the repeat series should finish.

In the new UI, you can choose On Date and then select an End Date.

Click the End Date field and choose the final date from the calendar.

Once the end date is selected, the preview area will update.

Review the Preview

Before creating the repeat shifts, check the preview box.

The preview shows:

  • How often the shift will repeat

  • Which days are selected

  • The end date

  • How many shifts will be created

Review this carefully before continuing.

Create the Repeat Shifts

Click Create occurrences.

The system will create all shifts in the repeat series.

When complete, a confirmation message will appear:

Recurring shifts created

All shifts in the series have been created.

Important Notes

  • Repeat shifts are based on the original shift you selected.

  • Check the original shift details before creating repeat occurrences.

  • The Create occurrences button may stay disabled until all required repeat fields are completed.

  • The preview helps confirm how many shifts will be created.

  • Creating repeat shifts may add multiple shifts to the roster at once.

  • After creating occurrences, review the roster to confirm the shifts were added correctly.

  • If a staff member is unavailable or already rostered, check the created shifts carefully and make any required changes.

Troubleshooting

If the Repeat tab is not visible:

  • Check that you opened a shift from the roster.

  • Confirm you have permission to edit or manage shifts.

  • Ask an administrator to review your role permissions.

If the Create occurrences button is disabled:

  • Make sure a repeat option has been selected.

  • Select the required days if using a weekly or fortnightly repeat.

  • Add an End Date.

  • Check that the preview has loaded.

If the repeat preview does not show:

  • Confirm all required repeat fields are complete.

  • Try selecting the end date again.

  • Close and reopen the shift panel.

If repeat shifts were created incorrectly:

  • Open the affected shift from the roster.

  • Edit or delete the incorrect shift as needed.

  • Review the repeat settings before creating another series.
