Shift roles identify the type of work assigned to a rostered shift. They do not control staff account permissions, system access, pay rates, or payroll settings.
Only users with access to Admin > Configuration > Roster can manage shift roles. Staff members who need a shift role changed should contact their manager or administrator.
Open Roster Configuration
Go to Admin > Configuration.
In the Configuration sidebar, click Roster.
Find Shift Roles
Scroll to the Shift Roles section.
This section lets you create or manage shift roles that can be assigned to shifts within the roster.
Review or Select a Shift Role
Click the Shift Roles dropdown.
Review the existing roles.
Use this area to add or manage the roles available in the roster.
Use the Active toggle to control whether the shift role is available when users create or update rostered shifts. Turn the role off only when it should no longer be available for future use.
Save Changes
Review the role name, colour, and Active status.
Select Save in the Shift Roles section.
Before saving, check whether the role is already used in rostered shifts. Changes may affect how new or updated shifts are displayed and assigned.
Important Notes
Shift roles can be used when creating or editing shifts.
Shift roles may affect roster colours if colour rules are configured by role.
Shift roles may affect site view hour totals.
Changes may affect future roster setup and reporting.
Before renaming or deactivating a role, check whether it is used in current or future rostered shifts.
Changes to a shift role may apply when users create or update shifts after the change.
Changing a role does not automatically change all existing shifts unless the system specifically updates them.
A shift role is separate from a staff member’s system role, account access, and permissions.
Role colours may affect how matching shifts are displayed when roster colour rules use shift-role criteria.
Troubleshooting
A role is not available when creating or editing a shift
Confirm the role is marked as Active.
Confirm the role exists in Shift Roles.
Save the Shift Roles section.
Refresh the roster page.
Check your permissions.
If a role does not affect roster colours:
Review Roster Colours rules.
Confirm the colour rule is active.
Check the rule priority.
