The Report Builder walks you through four steps to configure a report. You can move between steps freely using the tab bar at the top of the builder, and you can run the report at any point once a data source and at least one column are selected.

Step 1 — Data Source

Select which dataset (domain) you want to report on. Each domain is shown as a card with a title, description, and the number of available fields.

Only domains you have permission to access are displayed. If you don't see a domain you expected, check with your administrator.

After selecting a domain, the builder automatically advances to the Columns step. Default columns and sort order are pre-selected based on the domain.

Step 2 — Columns

Choose which fields to include in your report. Each field shows its name and a colour-coded dot indicating its type:

Colour

Type

Green

Text

Blue

Number

Amber

Date

Purple

Yes / No

You can:

  • Search — type in the search box to filter the field list by name or type.

  • Toggle individual fields — click a field to add or remove it. At least one field must remain selected.

  • Select All — adds every available field to the report.

  • Defaults — resets the selection back to the domain's recommended set of fields.

The counter below the search box shows how many fields are currently selected out of the total available.

Step 3 — Filters

Add conditions to narrow your results. This step is entirely optional — if you skip it, the report returns all rows.

See Filtering Report Data for a detailed guide.

Step 4 — Options

Configure how results are sorted and grouped. Both settings are optional.

Sort order

Choose a column and direction (ascending or descending) from the dropdown. If left on "Default", the domain's built-in sort order is used.

Group by

Aggregate rows by one or more columns. Click a column pill to toggle grouping on or off. When grouping is active, numeric columns are summed and the result set is collapsed to one row per unique combination of the grouped columns.

Running the report

  • Click Run Report on the final step, or

  • Click Run Now on any earlier step (visible once a domain and at least one column are selected).

The builder footer shows your current step and a summary (e.g. "3 selected", "2 active filters").
