Viewing Results

After running a report, results appear in a table below the Report Builder. You can search, sort, paginate, hide columns, and switch to a chart view.

Results header

The header bar shows:

  • Row count — the total number of rows matching your query.

  • Page indicator — current page out of total pages (when results span multiple pages).

Sorting

Click any column header in the table to sort by that column. Click the same header again to reverse the direction. A small arrow indicates the current sort column and direction.

Sorting triggers a fresh query to the server, so the entire result set is re-ordered — not just the current page.

Pagination

Results are paginated by default. You can control the page size using the dropdown in the header bar:

Use the pagination controls at the bottom of the table to move between pages.

Searching results

A search bar appears above the table. Type a query to search across all text columns in the result set. The search runs server-side with a short debounce delay, so results update automatically as you type.

Click the x button or clear the field to reset the search.

Hiding columns

If your report includes many columns and you want to focus on a subset:

  1. Click the Columns button in the header bar.

  2. A dropdown shows all columns with checkboxes.

  3. Uncheck a column to hide it from the table.

Hidden columns are a display-only change — they do not affect exports or the underlying query. Hiding resets when you run a new report.

Restricted results

If your account has restricted participant access, a yellow banner may appear:

Restricted Results — This report may be incomplete. You have restricted access to some participants and their data has been excluded from the results.

This means rows related to participants you don't have access to have been excluded by the system. The row count reflects only the data you are permitted to see.

Switching to Chart view
