Features

  • Added automatic Xero customer matching for clients when sending claims, on the weekly billing wizard, the bulk send sheet and the single-claim send sheet. Each pick shows whether the match is Linked, Auto, Suggested, Review, Conflict or No match, suggested customers are listed first, and the picker explains the match.

  • The Xero customer used for a client's first successful send is now remembered for that Xero organisation and pre-selected as Linked on later sends, with a Clear link option for when the client should be invoiced to a different customer.

  • Bulk sends of claims to Xero now run in the background, so the sheet can be closed while invoices are created; progress shows on the claims list and a notification reports how many claims were sent, failed and skipped when the run finishes.

  • Weekly billing now creates claims and sends them to Xero as a single run of up to 200 clients, with live progress and the sent, not sent and failed results on the results screen.

  • Added a Non-billable option when creating an interaction type in Administration settings > Invoicing > Interaction Types, for time such as supervision that has no participant and nothing to invoice.

  • Logging an interaction now starts with a choice of Billable or Non-billable; a non-billable interaction records the staff member, site, activity and timing, with no participant, service items, plan goal or consent, and is listed in Invoicing > Interactions with a Non-billable status.

  • Staff KPIs now include non-billable interactions in interactions logged, average duration and daily hours, show how many interactions are non-billable for each staff member, and split billable and non-billable hours in the daily activity tooltips.

Improvements

  • Claims sent to Xero are now dated to the end of the service week shown in the invoice reference instead of the day the claim was created.

  • The Xero House tracking option now combines the staff member's house with their initials, and house names are limited to 90 characters so the option always fits Xero's limit.

  • When Xero refuses to create a Client or House tracking option while sending a claim, the error now names the option and Xero's reason.

  • Bulk sends now handle up to 50 claims per run, sends to the same Xero organisation run one after another, and claims already queued in a running send are skipped so they are never sent twice.

  • Temporary Xero problems during a send are now retried automatically, a claim whose send failed keeps its Error status and shows why on the claim page, and creating Xero invoices uses Xero's duplicate protection so a lost response cannot create the same invoice twice.

  • Sending claims to Xero now warns when a client's previously linked customer is no longer in Xero, and matching recognises names written surname-first, ignores bracketed text, and matches a contact's first and last name even when the display name is a business such as a plan manager.

  • If the Xero send cannot be started after weekly claims are created, the wizard now shows the created claims instead of the form, so they are not created a second time.

  • The Staff KPIs setting in Administration settings is now called Daily Hours Target, and non-billable time counts toward it; pending claim counts, the consent rate and the Overview's active interactions count billable interactions only.

  • Weekly billing and Create Claim never pick up non-billable interactions, plan goals can only be linked to billable interactions, and the Invoicing calendar shows a non-billable interaction by its type name and time.

  • Shared Staff ID cards now show when the link is valid, a live clock and a countdown to expiry, switch to the invalid state as soon as the link expires, and state that a screenshot or saved copy of the card is not a valid ID.

  • Reconciliation now counts every staffing hour, regardless of the roster's site-hours role filter, which is a display setting only.

  • Timesheets now flag a sleepover with no sleepover allowance on its starting day, the roster asks for confirmation before an allowance is deleted, and a split sleepover night's allowance is explained on the timesheet row and PDF.

  • Sleepover and first aid allowances are now created when only a pending request exists, and default allowances are capped at one unit.

  • The Timesheets leave notice now names the staff member, appears only when there are shifts, and an approved leave no longer hides a pending request.

  • Administration dropdown options now ask for confirmation before an option is removed organisation-wide, and archived positions stay visible where they are still used.

  • Administrators can now fill in a blank pay-calendar timezone on older records.

  • Removed the Approvals tab from Invoicing configuration in Administration settings, as its settings were not yet applied anywhere.

  • Sleepover tooltips in the shift editor now explain that an uneven split around a sleepover moves hours into overtime rather than reducing pay, and the Leave Type field no longer shows a long hover tooltip.

  • Shift-note reminders now count a note written during the shift, and a reminder clears up to twelve hours after the shift ends.

Bug Fixes

  • Fixed automatic Xero customer matching silently picking the first of two customers with the same name; ties are now flagged as a Conflict to resolve.

  • Fixed sending claims to Xero never completing for Xero organisations with a very large item catalogue.

  • Fixed saving a client in Invoicing > Clients failing when the Interpreter Required toggle had never been set, including when adding a client's first NDIS number; a save that fails for any other reason no longer leaves a partly saved client behind.

  • Fixed the Administration > API Keys page failing to open with a "Can't reach the server" error, and the list of available API key scopes not loading.

  • Fixed a shift excluded by the site-hours role filter taking hours from an overlapping included shift, so an eight-hour shift could report as four.

  • Fixed the payroll export paying a split sleepover night twice.

  • Fixed a shift holding only a pending sleepover allowance request being treated as having the allowance in the Timesheets missing-allowance check.

  • Fixed unpaid leave overlapping a worked shift taking hours off the worked shift, on public holidays too; paid leave is unchanged.

  • Removed the shift-note AI day summary option, which no longer worked and showed an endless progress animation.

  • Fixed the Quick File Preview window's title being pushed to the edge of the panel.

  • Fixed an error on the Dashboard shifts page when leaving the page before its map had finished loading.
