Use Leave to review staff leave requests and update them where your permissions allow.
Before you begin
This article is for Admins and Managers who are authorised to review and update staff leave requests.
Staff members who need help with a leave request should contact their manager or administrator.
Important: Confirm that you have opened the correct staff member and leave request before making changes. Leave updates may affect roster planning, staffing coverage and related payroll workflows.
1. Open the Leave Page
Select Leave from the main navigation.
Find the leave request you want to review.
Use the available search or Filters to narrow the list where required.
Select the leave request to open its details.
The Leave page may show:
Staff member
Leave type
Submitted date
Status
Search
Filters
New Leave Request
Pagination controls
2. Review the Leave Request
Before updating the request, review the information shown.
This may include:
Staff member
Leave type
Requested dates
Notes
Status
Impacted shifts
Staff and account information shown under Details
Confirm that the request belongs to the correct staff member and covers the expected leave period.
Review impacted shifts
Check Impacted shifts before changing the request.
This area shows whether rostered shifts are affected by the leave request.
If shifts are listed:
Review each affected shift.
Confirm the leave dates are correct.
Review any staffing coverage that may be required.
Update the roster separately where required by your organisation’s process.
Do not assume that changing the leave request automatically updates or removes rostered shifts unless the interface confirms this.
Review the timezone
Version 8.0.0 includes expanded timezone support across leave and roster workflows.
Note: Review the leave dates and any affected shift times using the timezone shown in Diversity Sync’d before updating the request.
3. Update the Request Status
Open the request and review the Status section.
The current request may show information such as:
AUTHORISED
APPLICATION STATUS
Pending
Use only the status options available in your organisation’s current leave workflow.
Review the current Application Status.
Select the required status where your permissions allow.
Review any related authorisation setting shown on the request.
Confirm the updated status before saving.
The available status options may depend on:
Your permissions
The current request status
Your organisation’s leave configuration
Important: Confirm the correct leave request, application status and any impacted shifts before saving changes. Updating a request may affect staffing and roster planning.
4. Save and Confirm the Update
After reviewing or updating the request:
Select Save where available.
Wait for the request to update.
Confirm that the expected status is displayed.
Return to the Leave page if required.
Find the staff member’s request.
Confirm that the updated status is shown correctly.
If the staff member can access their own leave requests, they may also see the updated status from their account.
5. Check Roster or Staffing Requirements
If the leave request affects scheduled work:
Review any shifts shown under Impacted shifts.
Open Roster where required.
Confirm that staffing coverage is appropriate.
Update affected rostered shifts according to your organisation’s process.
Review any related payroll or timesheet impact before the affected period is processed.
Leave approval and roster management may be separate workflows.
Important Notes
This article is for authorised Admins and Managers.
Only update leave requests when you have permission to do so.
Confirm the staff member before making changes.
Review the requested dates and Leave Type carefully.
Review Impacted shifts before changing the request.
Use the status options shown in the current interface.
Leave dates and affected shift times may be influenced by timezone configuration.
Leave configuration is managed separately under Admin > Configuration > Leave.
Leave types are managed separately under Finance > Leave.
Do not change payroll-related information for a period that has already been processed or finalised without following your organisation’s payroll process.
Troubleshooting
I cannot open or update a leave request
Confirm that your role has permission to manage leave requests.
Refresh the page.
Open Leave again.
Search for the staff member.
Open the request.
Ask an administrator to review your permissions if editing actions are still unavailable.
The staff member says their request still shows as Pending
Open Leave.
Find the staff member’s request.
Review Application Status.
Confirm that the correct status was selected.
Confirm that Save was selected successfully.
Refresh the page and check the request again.
The leave dates or affected shifts look incorrect
Review the timezone shown in Diversity Sync’d.
Confirm the requested leave dates.
Review Impacted shifts.
Confirm the correct staff member and leave request.
Open Roster and review the affected shifts.
Correct the underlying leave or roster information where authorised.
I need to update leave for another staff member
Return to the Leave page.
Search for the required staff member.
Confirm that you selected the correct leave request.
Review the request details.
Make only the required authorised changes.
Select Save.
The status option I need is not available
Confirm the current request status.
Review your permissions.
Check your organisation’s leave configuration.
Confirm whether the request must complete another step first.
Ask an administrator to review the workflow if required.
Impacted shifts are not displayed
Confirm that the leave period overlaps rostered shifts.
Review the requested dates.
Check the staff member’s roster.
Review the timezone shown for the relevant dates.
Refresh the request and check again.
