Review and Update Leave Requests

Learn how to review, approve, decline, withdraw, and update leave requests for staff members.

For Admins and Managers only: Use this article to review, authorise, and update staff leave requests.

Support Workers and other staff members cannot authorise leave requests. Staff members who need help with a leave request should contact their manager or administrator.

Open the Leave Page

  1. Go to Leave.

  2. Find the leave request you want to review.

  3. Open the request to view its details.

Review the staff member, leave type, requested dates, notes, and any required information before making changes.


Review the Leave Request

Check the request details carefully before updating it.

Review:

  • Staff member

  • Leave type

  • Requested dates

  • Notes or supporting information

  • Any affected roster or staffing requirements

If the request needs more information, contact the staff member before changing the request.


Update the Request Status

Use the available request status options to record the outcome of the leave request.

Depending on your organisation’s leave workflow, you may be able to:

  • Approve the request

  • Decline the request

  • Withdraw the request

  • Update the request status

  • Review requests awaiting action

Only choose a status that matches your organisation’s approved leave process.

Important: Do not promise leave approval before reviewing the request and any roster or staffing impact.


Save and Confirm the Update

After updating the request:

  1. Save the changes.

  2. Confirm the request status is updated correctly.

  3. Check that the staff member can see the updated request in Leave.

The staff member may need to refresh the Leave page before the latest status appears.


Check Roster or Staffing Requirements

If the leave request affects scheduled work:

  1. Review any affected shifts or staffing requirements.

  2. Update the roster only where required and in line with your organisation’s process.

  3. Notify the relevant people if the leave change affects coverage.


Important Notes

  • This article is for Admins and Managers only.

  • Only update leave requests when you have the required access.

  • Use visible product labels and your organisation’s approved leave process.

  • Do not share another staff member’s leave details with people who do not need access.

  • Staff who cannot find, submit, or update a leave request should contact an administrator or manager.


Troubleshooting

I cannot open or update a leave request

Check that your role has access to manage leave requests. If you still cannot update the request, contact an administrator with higher access.

The staff member says their request still shows as pending

Ask the staff member to refresh the Leave page. If the status is still not updated, reopen the request and confirm that the correct action was saved.

I need to update leave for another staff member

Open the relevant leave request from the Leave page. Confirm you are editing the correct staff member’s request before saving any changes.
