How to Submit a Form

Learn how to open a register, create a new submission, save a draft, submit the form, and export or print a submitted record.

Open Registers

Go to Operations and select Registers.

The Registers page shows the forms available to you.

Find the register you need

Use Filter registers... or Filters to find the correct register.

Select the register you need to complete.

Select Create new submission to start your own form.

Create a new submission

On the register’s Submissions page, click Options.

Select Create new submission.

A new form will open for you to complete.

Complete the form

Read any instructions or warning messages at the top of the form before entering information.

Complete the fields shown in the form. The fields may be different depending on the register template.

Common field types may include:

  • Dropdown fields

  • Text fields

  • Date or time fields

  • Toggle fields

  • Participant or submitter fields

  • Long answer fields

Save the form as a draft

Click Save Draft to save your progress without submitting the form.

Draft submissions remain visible in the submissions list with a Draft status.

This is useful if you need to come back later or confirm details before submitting.

Important: Review your answers before submitting the form. Once submitted, you may not be able to edit it unless your organisation allows the form to be reopened.

Submit the form

When the form is complete, open the dropdown beside Save Draft.

Select Submit form.

The system will validate the form before submission. If required information is missing, complete the highlighted fields and try again.

Review the submitted form

After submitting, return to the register to check whether your submission appears in the list.

Depending on your organisation’s workflow, your submission may show as Pending while it is being reviewed.

Export or print the submission, if available

Open your submitted form and select Options.

Depending on your access, you may be able to:

  • Export a PDF copy of your own submission

  • Print a copy of your own submission

If these options are not available, contact your manager or administrator.

Important Notes

  • The form shown in this article is an example only. Actual fields may vary depending on the register template.

  • You can only complete forms that are available to your role.

  • Saving a form as a draft does not submit it.

  • A submitted form may show as Pending if your organisation reviews submissions before finalising them.

  • Always read any warning or instruction message inside the form before submitting.

Troubleshooting

I cannot access the form

Your role may not currently have access to this form. Please ask an administrator to review your access.

I cannot create a new submission

The form may not be available to your role, or it may not currently accept submissions. Please contact your manager or administrator.

I cannot submit the form

Check that all required fields are complete. If you still cannot submit the form, contact your manager or administrator.

My form is still saved as a draft

Open your draft, complete any missing required fields, then select Submit.

I need to change a submitted form

Contact your manager or administrator and ask them to review the submitted form with you.
