Open Pay Calendars
From the left sidebar, select Finance.
The Pay Calendars tab opens by default.
You can also select Pay Calendars from the Finance tab.
Review the Pay Calendars page
The Pay Calendars page includes:
A Search pay calendars field
A Create Pay Calendar button
A table of existing pay calendars
An empty state if no pay calendars have been created yet
The table columns include:
Name
Day of Week
Period (Weeks)
Time zone
Active Staff
If there are no pay calendars yet, the page will show No pay calendars.
Create a pay calendar
Select Create Pay Calendar.
A modal will open where you can configure the pay calendar.
Complete the pay calendar details
In the Create Pay Calendar modal, complete the required fields.
Add:
Name
Example: Fortnightly Staff.Period (Weeks)
Enter the number of weeks in the pay period.Start Of Latest Cycle Period
Select the start date for the most recent pay cycle.Time zone
Select the time zone used for the pay calendar.Staff
Select the staff members assigned to this pay calendar.
You can select staff individually or choose Select all.
Save the pay calendar
After completing the fields, select Save.
Once saved, the pay calendar appears in the table.
A confirmation message appears when the pay calendar is successfully created.
Search for a pay calendar
Use the Search pay calendars field to find an existing pay calendar by name.
This is helpful when your organization has multiple pay calendars.
Review pay calendar details
Each pay calendar row shows the main setup details.
Review the row to check:
The pay calendar name
The selected day of week
The pay period in weeks
The assigned time zone
The number of active staff
Edit a pay calendar
Select the three-dot menu on the right side of the pay calendar row.
Select Edit.
Update the available details, then save your changes.
A confirmation message appears when the pay calendar is successfully updated.
Delete a pay calendar
Select the three-dot menu on the right side of the pay calendar row.
Select Delete.
Only delete a pay calendar if it is no longer needed.
Important Notes
The pay period, start of the latest cycle period, and timezone are locked once the calendar is saved and cannot be changed.
A pay calendar can include one or multiple staff members.
Use clear names so pay calendars are easy to identify later.
The Active Staff column shows how many staff are assigned to the pay calendar.
If you see the finance integration warning, connect the integration from Admin > Integrations before syncing finance data.
Troubleshooting
If you cannot create a pay calendar, check that all required fields have been completed.
If staff are missing from the staff dropdown, check that the staff member exists and is active.
If the wrong time zone was selected, you may need to create a new pay calendar because the time zone is locked after saving.
If the pay calendar does not appear after saving, refresh the page and check the search field.
If finance syncing is not working, check whether the finance integration is connected in Admin > Integrations.
