Permissions & Access

Access to Reports is controlled by role permissions. Your administrator assigns permissions through the Roles section under Admin.

Without View Reports, the Reports item does not appear in the sidebar.

Without Export Reports, the Export button is hidden from the results header. You can still view data on screen.

Domain-level access

Each data domain has its own underlying permission that determines whether it appears in your domain list:

Organisation owners see all domains regardless of individual permission settings.

If a domain is missing from your list, ask your administrator to check your role has the matching permission.

Participant access restrictions

Some organisations use restricted participant access, where staff can only see data for participants assigned to them. When this applies:

  • Reports that include participant-related data automatically exclude rows for participants you don't have access to.

  • A yellow Restricted Results banner appears above the results to let you know the data may be incomplete.

  • The row count reflects only the rows you are permitted to see.

This restriction is enforced server-side and cannot be bypassed.
