The Dashboard provides quick access to your assigned shifts, clocking actions, shift information and organisation announcements.
Use the Dashboard to:
Review current and upcoming shifts
View completed shifts
Check sleepover window information
Clock on to an eligible shift
Review Shift Note reminders
Open shift details
Review and react to announcements
Before you begin
You need permission to access the Dashboard.
The shifts, clocking options and announcements available to you depend on:
Your user account
Your assigned shifts
Your role and permissions
The current date and time
Your organisation’s configuration
Note: The Dashboard displays information relevant to the signed-in user. Staff members only see shifts and actions available to their account.
1. Open the Dashboard
Select Dashboard from the main navigation.
Confirm that your name appears in the welcome message.
Review the date and timezone displayed near the top of the page.
Check the available shifts and announcements.
The Dashboard may include:
Current date and timezone
Welcome message
Shifts
Completed Shifts
Clock On
Assigned shift cards
Announcements panel
2. View assigned shifts
Select Shifts to review your current and upcoming assigned shifts.
Shifts are grouped by date.
Each shift card may show:
Shift date
Start and finish time
Shift ID
Shift type
Role
Leave type
House or site
House manager
Participants
Shift Note reminder
Sleepover information
Available actions
The information shown depends on the shift configuration.
3. Review a shift card
Check the shift date and time before taking any action.
The shift card may display labels such as:
Progress
Day Shift
Sleepover
Shift notes due
The information panel may include:
Role
Leave Type
House
House Manager
Participants
Select View details to open more information about the shift.
4. Review Sleepover Window information
When an assigned shift has Shift Type set to Sleepover, the shift card displays a Sleepover label.
The card may also include a Sleepover Window section showing:
Sleepover start time
Sleepover finish time
Overnight period
For example, a Sleepover shift from 10:00 pm to 6:00 am displays:
Sleepover Window
10:00 pm – 6:00 am
Note: The Sleepover Window confirms the overnight period recorded for the shift. Review the times before clocking on or completing shift documentation.
5. Review Shift Note reminders
A Shift notes due label may appear when documentation is required for the shift.
The number beside the label indicates how many Shift Note items require attention.
To review the requirement:
Open the relevant shift.
Select View details where required.
Review the participant and shift information.
Open Shift Notes.
Complete the required contribution or form.
Important: Complete required Shift Notes and forms according to your organisation’s documentation process. Outstanding items may remain visible until they are completed or submitted.
6. Clock on to a shift
Select Clock On when you are ready to start an eligible shift.
If more than one shift is available:
Select the arrow beside Clock On.
Review the available shifts.
Select the correct shift.
Confirm the clock-on action.
The clocking option may only be available when the shift is eligible to start.
Important: Confirm the shift date, time, participant and location before clocking on. Clocking on to the wrong shift may affect clock records, Timesheets and payroll.
7. Use shift actions
Depending on the shift and your permissions, actions at the bottom of the shift card may include:
View details
Contingency
Allowance
View details
Select View details to review more information about the selected shift.
Contingency
Select Contingency where available to access the organisation’s configured contingency process.
This option may not appear on every shift.
Allowance
Select Allowance where available to review or add an allowance associated with the shift.
The available allowance options depend on your organisation’s Finance configuration and your permissions.
8. View completed shifts
Select Completed Shifts to review shifts that have already been completed.
Completed shift cards may include:
Shift date
Shift time
Participant
Role
Site or house
Clocking information
Completed documentation status
If a completed shift is not displayed:
Confirm that Completed Shifts is selected.
Check the relevant date.
Refresh the Dashboard.
Confirm that the shift is assigned to your account.
9. Review announcements
The Announcements panel appears on the right side of the Dashboard.
An announcement may include:
Image
Title
Message
Pinned label
Reaction buttons
Number of reactions
Pinned announcements remain prominent in the panel.
Review announcements regularly for changes that may affect shifts, operating hours, participants or organisation procedures.
10. React to an announcement
Reaction buttons may appear at the bottom of an announcement.
To react:
Review the announcement.
Select an available reaction.
Confirm that the reaction count updates.
Available reaction options depend on how the announcement was configured.
Important notes
The Dashboard displays information for the signed-in user.
The date and timezone appear near the top of the page.
Use Shifts for current and upcoming shifts.
Use Completed Shifts for completed work.
Sleepover shifts display the Sleepover label.
Version 8.0.0 adds Sleepover Window information to Dashboard shift cards.
The Sleepover Window shows the recorded overnight start and finish times.
Shift notes due indicates that documentation requires attention.
The Clock On button may only be available when a shift is eligible.
Some shift actions depend on permissions and organisation configuration.
Pinned announcements remain prominent in the Announcements panel.
Announcement reaction options may vary.
Troubleshooting
I cannot see the Dashboard
Confirm that your account has Dashboard access.
Refresh the page.
Sign out and sign in again.
Ask an administrator to review your permissions.
My assigned shift is not displayed
Confirm that the shift is assigned to your staff account.
Confirm that the shift is published.
Check the shift date.
Check the Completed Shifts tab.
Review the Roster.
Confirm that the shift is not assigned as Open.
Refresh the Dashboard.
The Sleepover Window is not displayed
Confirm that the shift’s Shift Type is set to Sleepover.
Confirm that the shift is assigned to your account.
Confirm that Finish following day is enabled for an overnight shift.
Check that the shift has been saved and published.
Refresh the Dashboard.
Open the shift in the Roster and review its configured times.
The Sleepover Window shows incorrect times
Open the shift in the Roster.
Review the Start Time.
Review the Finish Time.
Confirm whether Finish following day is enabled.
Check the shift timezone.
Save any corrections.
Refresh the Dashboard.
Clock On is unavailable
Confirm that the shift is eligible to start.
Check that the correct shift is assigned to you.
Select the arrow beside Clock On and review the available options.
Confirm that the shift has been published.
Refresh the page.
Ask a manager or administrator to review the shift.
Shift notes due remains visible
Open Shift Notes.
Confirm that the contribution was recorded against the correct participant and date.
Complete any required forms.
Submit any remaining drafts.
Refresh the Dashboard.
Announcements are not displayed
Confirm that announcements are currently active.
Check whether the announcement has a visible date range.
Refresh the Dashboard.
Ask an administrator to confirm that the announcement is published and available to your role.
I cannot use Contingency or Allowance
Confirm that the option applies to the selected shift.
Confirm that you have the required permissions.
Check your organisation’s configuration.
Ask a manager or administrator if the option should be available.
