Before You Start
You need the correct admin access before you can manage shift roles.
Required permissions:
Access to Admin
Access to Configuration
Permission to manage Roster settings
Permission to create or edit shift roles
Shift roles help you define the type of shift used in the roster.
Common role details include:
Title
Description
Colour
Go to Admin
From the main navigation, click Admin.
This opens the admin area where you can manage users, roles, logs, integrations, billing, configuration, and notifications.
Open Configuration
At the top of the Admin area, click Configuration.
This opens your organisation’s settings and preferences.
Open the Roster Settings
In the Configuration side menu, click Roster.
This opens the roster settings page.
Find the Shift Role Settings
On the Roster settings page, scroll to the area where shift roles are managed.
From here, you can create a new shift role or update an existing one.
When creating or editing a shift role, complete the available fields as needed, such as:
Title
Description
Colour
The colour you choose will be the colour shown on the rostered shift.
Create a New Shift Role
To create a new shift role, select the option to add a new role in the shift roles section.
Enter the required details for the role, then save your changes.
Once saved, the new shift role will be available for use in the roster.
Edit an Existing Shift Role
To edit an existing shift role, open the role from the shift roles section.
Update the fields you want to change, then save your changes.
Your updates will apply to the shift role going forward.
Set a Default Shift Role if Needed
At the top of the Roster settings page, use the Default Shift Role dropdown if you want new shifts to start with a preselected role.
Choose the shift role you want to use by default, then click Save.
This only applies to new shifts.
It does not replace the shift role on shifts that have already been created.
Important Notes
Shift roles are managed in Admin > Configuration > Roster.
Shift role fields may include Title, Description, and Colour.
The selected colour is used on the rostered shift.
Shift roles can be used when creating and managing shifts in the roster.
A default shift role can be set for new shifts.
Setting a default shift role only affects newly created shifts.
Changing the default shift role does not update existing shifts that already have a role assigned.
Shift roles may be included in SCHADS hours and total hours, depending on how your roster is configured.
Troubleshooting
If you cannot see Admin:
Check that you have access to the admin area.
Ask an administrator to review your permissions.
If you cannot see Configuration:
Confirm you are in the Admin area.
Check your role permissions.
If you cannot see Roster in Configuration:
Make sure you are on the Configuration tab.
Ask an administrator to confirm you have access to roster settings.
If you cannot find the shift roles section:
Scroll further down the Roster settings page.
Refresh the page and try again.
If you cannot save changes:
Make sure all required fields are completed.
Check that the role title is valid.
Refresh the page and try again.
If the default shift role is not applying:
Confirm you clicked Save after selecting the role.
Check whether the shift was created before the default role was set.
Remember that the default role only applies to new shifts.
