Before You Start
You need access to the Admin area and permission to update configuration settings.
Required permissions:
View the configuration tab in the admin panel
Make changes to organisational configuration settings in the admin panel
Go to Admin
From the left navigation menu, click Admin.
This opens the Admin area where you can manage users, roles, logs, integrations, billing, configuration, and notifications.
Open the Configuration Tab
At the top of the Admin page, click Configuration.
This opens your organisation’s configuration settings.
Open Leave Settings
From the Configuration side menu, click Leave.
This opens the Leave configuration page.
The Leave page includes settings for:
Automatic Sick Approval
Disable Line Manager Notification Prior to Authorisation
Open Shifts
Leave types by employment type
Leave type notification recipients
Configure Automatic Sick Approval
In the Leave section, find Automatic Sick Approval.
Turn this toggle on if you want sick leave to be automatically approved when assigned to a shift.
Leave this toggle off if sick leave requests should still require manual review.
Configure Line Manager Notifications
Find Disable Line Manager Notification Prior to Authorisation.
Turn this toggle on if you want to stop line manager notifications before the request is authorised.
Leave this toggle off if line managers should continue receiving notifications before authorisation.
Save Leave Settings
After updating the Leave section, click Save.
This applies the updated leave approval and notification settings.
Configure Open Shifts
Go to the Open Shifts section.
Use the Shift Roles dropdown to select shift categories that should not create open shifts when a shift is cancelled because of leave.
This helps control when cancelled shifts should or should not appear as open shifts in the roster.
Save Open Shift Settings
After selecting the relevant Shift Roles, click Save.
If the Save button is disabled, check whether any changes have been made.
Configure Leave Types by Employment Type
Go to the Leave types by employment type section.
This section controls which leave types each employment type can request.
You can configure leave types for:
Casual
Part Time
Full Time
Contract
Use each dropdown to select which leave types are available for that employment type.
Staff with no employment type set can request any configured leave type.
Go to Finance if Leave Types Need Updating
Leave types are created and managed in Finance Configuration.
If the leave type you need is missing, click Go to Finance.
This takes you to the finance area where leave types can be managed.
Configure Leave Type Notification Recipients
Below the employment type settings, each leave type has its own notification section.
Examples may include:
Annual
Cancelled
Ceremonial
Community Service
Compassionate
Family & Domestic Violence
Long Service
Parental
Sick/Persona
Unpaid
Each section is used to configure notification recipients for that leave action.
Open a Leave Type Notification Section
Click the dropdown for the leave type you want to configure.
Add or update the people who should receive notifications for that leave action.
Use this when specific managers, admin users, or email recipients need to be notified when leave changes happen.
Save the Leave Type Notification Settings
After updating the notification recipients, click Save on that leave type section.
Repeat this process for each leave type that needs custom notification recipients.
Important Notes
Automatic Sick Approval can reduce manual approval work, but leave requests should still be reviewed when shift conflicts may occur.
Open Shifts settings control whether cancelled shifts create open shifts in the roster.
Leave types by employment type controls which leave types staff can request based on their employment type.
Leave types are created and managed in Finance Configuration.
Each leave type notification section has its own Save button.
If the Save button is disabled, check whether changes have been made or whether required fields are complete.
Troubleshooting
If you cannot update leave settings:
Refresh the browser.
Check your internet connection.
Make sure you are in Admin > Configuration > Leave.
Make sure your role has permission to update configuration settings.
Check whether the correct dropdown section is expanded.
Make sure the required leave types already exist in Finance Configuration.
Try saving again.
Contact an administrator if the issue continues.
