1.1 Overview

Diversity Sync’d (a trading name of New Horizon Code PTY LTD, ABN 61 634 659 804) utilises artificial intelligence (AI) technologies throughout its platform to enhance operational efficiency, improve user support, and assist in compliance, rostering, and documentation workflows. These technologies are used to generate summaries, provide intelligent assistance, identify potential risks, and streamline internal processes.

Diversity Sync’d distinguishes between two categories of AI use:

  • DS AI: Our internally managed AI systems

  • Third-party AI tools: Used for customer support automation and related services

1.2 DS AI – Internally Managed Artificial Intelligence

Diversity Sync’d operates proprietary AI systems (“DS AI”) built using licensed third-party models. While foundational models may be sourced from external providers (e.g. OpenAI), all prompts, logic, outputs, workflows, and data handling practices are designed, managed, and secured internally by Diversity Sync’d.

These systems may process user-generated content — including but not limited to shift notes, incident reports, platform activity, and support tickets — to:

  • Generate summaries or suggestions

  • Flag incomplete or inconsistent data

  • Provide compliance-related insights

  • Improve future AI performance

To continuously improve the quality and relevance of DS AI outputs, Diversity Sync’d may use platform data to fine-tune and evolve its internal workflows. This training is conducted entirely within our secure infrastructure and does not involve the transfer of your data to any external model provider.

We do not permit external model training on your data, and we do not share your data with third parties for AI development or commercial use.

1.2.1 Medication Flagging & Clinical Limitations

DS AI may surface potential concerns related to medication records, including:

  • Missing dosage entries,

  • Inconsistent medication logs,

  • Repeated patterns that may suggest risk or non-compliance.

  • Potential interactions between listed medications that could indicate an increased risk of adverse reactions

These alerts are designed to assist authorised personnel in identifying issues that may require further attention — but they do not constitute clinical or pharmaceutical advice.

Any medication-related outputs — including potential dosage inconsistencies, missing entries, or suggested interactions — are generated using probabilistic models and may contain inaccuracies, omissions, or false positives. These outputs are general in nature and may not reflect up-to-date clinical guidelines, drug databases, or individual participant risk factors.

These outputs must not be interpreted as medical instructions, prescriptions, warnings, or recommendations of any kind. You are solely responsible for conducting an independent review using professional protocols, clinical judgment, and duty-of-care standards applicable to your role and organisation.

Diversity Sync’d accepts no liability for any decisions, actions, or omissions made in reliance on AI-generated medication content without appropriate human verification by qualified personnel.

All decisions regarding medications — including administration, documentation, escalation, or reporting — must be made by qualified health professionals or authorised personnel in accordance with regulatory and organisational policy.

1.3 Third-Party AI Tools

In addition to our internal AI systems, Diversity Sync’d may use third-party AI tools, such as automated support agents or summarisation tools, to assist with customer service and ticket resolution. These tools may process the content of support requests to:

  • Generate real-time answers

  • Summarise conversations

  • Triage and prioritise tickets

Use of these tools is subject to the third party’s privacy practices. We take reasonable steps to ensure that data processed via these services is handled in accordance with applicable privacy laws and that model training outside our organisation is disabled unless otherwise stated.

1.4 Data Privacy and Security

All AI systems, whether internal or third-party, are governed by strict data protection and confidentiality standards.

  • Data processed by AI tools is encrypted and stored in accordance with the Privacy Act 1988 (Cth) and Australian Privacy Principles (APPs).

  • AI-related processing is conducted in secure environments with restricted access and audit logging.

  • Personal and sensitive information remains subject to the same protection standards as all other platform data.

1.5 Accuracy and Human Oversight

AI-generated outputs are intended to assist, not replace, human judgment. While AI systems may improve productivity and accuracy, they may also contain errors, omissions, or contextual inaccuracies. As such:

  • Users must verify all AI outputs before relying on them for operational, compliance, or clinical purposes.

  • AI-generated summaries or recommendations are provided “as-is” and do not constitute official records or decisions.

  • Diversity Sync’d accepts no liability for actions taken solely on the basis of AI-generated content without appropriate human review.

1.6 Consent and Acknowledgement

By using the Diversity Sync’d platform, you acknowledge and agree that:

  • Your data may be processed by internal AI systems to assist with platform functionality and quality improvement.

  • AI tools are intended to assist users and staff, not to make final or independent decisions.

  • You remain responsible for reviewing and verifying all AI-generated content before acting on it.
